Job description

Under general supervision, provides customer service directing visitors to their desired destinations within a County building and providing general information assistance; performs data entry, answers and screens telephone calls, and completes other routine clerical tasks.

Illustrative Examples of Work

  • Provides high level customer services through providing direction and assistance to visitors within a County building.
  • Greets callers to County offices and/or buildings, assists the general public over the telephone and in-person; directs callers to proper destination; responds to requests for information.
  • Files, sorts, and distributes departmental mail.
  • Maintains building and employee directories.
  • Compiles, revises, and prints correspondence, reports, data records, and other documents from rough draft and/or recorded dictation, utilizing a personal computer.
  • May handle and account for monies; may assist in preparing payroll and other records.
  • Observes the activities of building visitors and contacts law enforcement or other emergency personnel for assistance when necessary.
  • Performs related duties as assigned.

Required Knowledge, Skills and Abilities

  • Knowledge of office practices and procedures.
  • Knowledge of and ability to maintain departmental policies, practices and standards.
  • Knowledge of the location of offices in a County building.
  • Knowledge of county geography and transportation system.
  • Knowledge of County buildings and public services.
  • Skill in providing great customer and personal services including assessing customer needs, listening intently and asking questions to fully understand customer’s request for service or information and when possible, providing needed service or information.
  • Basic proofreading skills.
  • Ability to type 35 words per minute and/or possess data entry skills of 5,000 keystrokes per hour with a 5% or less error rate.
  • Ability to operate a personal computer and other general office equipment.
  • Ability to communicate effectively both verbally and in writing, to provide clear and concise directions to the general public.
  • Ability to compose routine letters and memoranda.
  • Ability to file alphabetically/numerically and maintain office records.
  • Ability to perform basic mathematical calculations.
  • Ability to handle confidential information with discretion.
  • Ability to remain calm and react promptly during emergencies.
  • Ability to establish and maintain satisfactory working relationships with other County employees and the general public using courtesy, patience, and tact.
  • Ability to make minor decisions in accordance with laws, rules, regulations, and departmental policies and procedures.
  • Ability to frequently lift up to 50 pounds dependent upon the assigned department.
  • Ability to transcribe mechanical dictation may be required.
  • May require bi-lingual communication skills.

Training and Experience

  • Graduation from high school or equivalent education, and
  • One year of clerical or typing experience, or
  • Any equivalent combination of training and experience that will have provided the required knowledge, skills, and abilities.
Special Requirements:
  • A criminal background check is required.
  • A drug screen is required prior to final offer of employment.
  • A data entry and keyboarding test is required.
