Resident Life Administrative Assistant

This position supports the Resident Life Department in an administrative capacity while interacting with residents daily in a customer service capacity.

Job Requirements
1. Excellent communication skills, verbal and written.
2. High school diploma required; Associate degree or some college preferred.
3. Proficient with technology including heavy usage of Microsoft Office & Publisher.
4. This job requires a passion for providing the best experience for our residents through a caring, efficient, and loving approach to resident’s needs. Strong attention to detail as well as organizational and multi-tasking skills are necessary.
5. Customer Service & hospitality skills are mandatory.
Resident Life Administrative Assistant Functions:
- Maintain and keep Resident Website current. Maintain & post community movement notifications.
- Assist residents with accessing and learning with technology and small administrative tasks
- Finalize and print monthly newsletters.
- Maintain database for Volunteer program which includes processing applications, keeping handbooks up to date and advising Activity Directors in IL, AL and skilled of available volunteers.
- Support and serve as back-up to Activity Coordinator for certain activity tasks – such as recording events, broadcasting events, operating sound system, etc.
- Assist with updating, printing out and putting together New Resident Handbooks. Assisting with New Resident Orientation.
- Assist residents with private groups/parties/gatherings – schedule on calendar, set up, etc.
- Create weekly room event sheets.
- Create monthly sign-up sheets – trips, church, misc. and assist with creating and submitting set-up sheets for upcoming events.
- Assist with Resident Groups who need administrative help.
- Assist with scheduling memorial services, posting service information, arranging transportation for outside services, etc.
- Assist Resident Life Director as needed with providing resources/support, etc. for residents as needed and directed including assisting with transporting residents to skilled care as needed.
- Assist Resident Life Director and Activity Coordinator with scheduling, implementing, and executing various resident programs.
- Complete monthly billing reports for resident charges.
- At the end of each month, complete and submit event set-up sheets for the upcoming month.
