General Statement:
Under the direct supervision of the Inside Sales Manager, and general supervision of Account Manager and Sales Associate, provide administrative sales and office support to assigned Sales Team.

General Statement:
Under the direct supervision of the Inside Sales Manager, and general supervision of Account Manager and Sales Associate, provide administrative sales and office support to assigned Sales Team.
Duties and Responsibilities:
- Responsible for preparing and maintaining project and order schedules for both customer reports, and internal reporting.
- Responsible for distribution, tracking, and expediting of order and project documentation using established processes.
- Responsible for logging in Bid Requests and Revisions to Team Quote Log, and for posting Bid Documents to appropriate SharePoint sites.
- Monitor shipment schedules, provide schedule updates, schedule customer inspections, and serve as primary contact for expediting with the customer.
- Responsible for monitoring order backlogs and taking necessary action to close these out as shipments.
- Communicate to Sales Team any customer service issues that could potentially harm customer relations or jeopardize current or future business.
- Set up order headers for new projects and orders following directions from post-award kick off meeting.
- Enters small scope projects and all parts orders with Principals or Operations.
- Assist with change orders with guidance from Sales Team and order administrator.
- Enter repair and/or warranty orders following established procedures.
- Responsible for copying, filing, typing, and general administration activities for sales team.
- Responsible for reviewing and taking corrective action on commission reconciliation, PONCs, and other system related issues.
- Responsible for securing and maintaining Export Compliance documentation within SharePoint following established procedures.
- Monitor past due payables and work with Sales Team and accounting to meet corporate goals for collections.
- Responsible for providing suggestions to improve work process, including reduction in non-conformance, increased efficiency, profitability, hit-rate and customer satisfaction.
- Responsible for providing data to customers using various methods including customer data tools, e-mail, internet, and internet sites.
- Responsible for understanding Team Mission and Goals, and actively supporting them.
- Responsible for following general office Protocol and procedures in carrying out assigned duties.
- Follow safe work procedures and Company safety policies and procedures, which includes but is not limited to:
- Obeying warning signs and postings
- Immediately reporting any injury, accident, or near-miss incidents
- Reporting unsafe hazards and unsafe conditions
- Completing safety training by the due date
- Using personal protective equipment as required by the employer
- Perform related duties as required.
QUALIFICATIONS:
Education/Knowledge:
- Professional/Associate or Bachelor’s degree preferred.
Experience/Skills:
- 3+ year’s office administrative or related experience. Strong knowledge of office administrative procedures, use and operation of standard office equipment.
- Industry experience a plus.
- Project Management experience a plus.
- Strong knowledge of various computer software applications including MS Excel, Word, PowerPoint, and SharePoint.
- Proficiency with Intranet and Internet search and organization.
- Excellent written and verbal communication skills.
