IBC Construction LLC, a growing and locally owned residential/commercial General Contractor with a fun, professional and progressive culture is seeking an individual with a positive attitude to join our team as an Executive Assistant. This position is full time, permanant. Office hours are Monday through Friday, 8am to 5 pm, excluding major holidays.
Executive Assistant/Personal Assistant to Owner
Reports to: Owner
Collaborates with: Marketing Director, General Manager, and Land Development Coordinator
Schedule: Monday-Friday, occasional evening and weekend hours.
Hours: 9am –5pm, start/end times may vary occasionally.
Starting wage: $22-27, DOE, hourly.
Position Available: Immediately.
Description:
● Manage and organize Owner’s work load so that Owner can complete tasks/projects in a timely and efficient manner. Collaborates with Marketing Director, General Manager, and Land Development Coordinator on specific tasks, as they require, which requires
Owner's input.
Responsibilities:
● Filter, manage, dictate, and maintain the system for Owner’s email or on Owner’s behalf.
● Intake and organize new client information for potential new builds.
- Liaison between Owner and new/custom clients.
- Manage IBC waitlist- adding and updating of client information.
● Manage inquiries from the IBC email, ibc@ibcbuilt.com.
● Create and Manage Owner’s drawing schedule.
● Manage and filter Owner’s work/personal calendar.
● Assist in creating systems and policies for IBC with Marketing Director and General
Manager.
● Setup of meetings (in person/virtual) and agendas for those meetings with IBC employees, engineers, subcontractors, and clients for Owner.
- Prepare any documents, as needed for meetings.
- Take notes during meetings, file appropriately, and note action items.
● Communicates with the Government Municipalities, City of Hood River, Hood River
County, City of White Salmon, Klickitat County, Engineers, Clients, Vendors,
Contractors, Suppliers, Banking, and Title Companies on Owner’s behalf.
● Communicates with the Land Development Coordinator on tasks at beginning of projects.
● Liaison between Owner and workforce employees (superintendents & project assistants).
● Creates Excel, manage, and follow log for trusses and floor systems.
● Creates Excel, manage, and follow timeline log for land development/partitions.
● Record all partitions and property line adjustments for IBC - at applicable County
Offices.
● When IBC is purchaser: Manage escrow dates/calendar- EM, Proof of funds,
Contingency Removal, and Closing date.
● Take photos for social media outlets and send them to the Marketing Director.
● Assist Owner in personal and IBC projects/tasks, as assigned.
● Pick up supplies and run errands for Owner’s personal projects.
● Pick up lunch for Owner and Marketing Director, as needed.
Required skill set:
● Answer employer provided the phone promptly and professionally.
● Strong organizational skills.
● Strong comfort with general office technology and software: Microsoft, Google, and other web based applications.
● Demonstrated attention to detail and time management skills.
● Excellent verbal, written, and digital communication; ability to effectively communicate and work with other staff, subcontractors, and other management.
● Experience working in a construction environment or related field is strongly preferred.
● Strong ability to prioritize, effectively problem solve, and create new systems.
● Bilingual strongly preferred.
Job Type: Full-time
Pay: $25.00 - $30.00 per hour
