Position Overview
This position will provide administrative support to the Chief Executive Officer, Chief Operating Officer, and Chief Financial Officer. Responsible for coordinating meetings and related materials (including Board of Directors meetings), making travel arrangements, managing vendors and procurement, maintaining corporate files, preparing presentations, collecting business metrics, managing calendars, managing special projects and providing investor support.
About the Role – You will:
- Maintain Outlook calendar, schedule internal meetings, calls, and teleconferences.
- Manage Board calendar, including Board committees.
- Work with the other Executive Assistant to prepare and distribute agendas and meeting minutes. Schedule and organize resources for meetings. Prepare presentations for internal and external use, coordinating inputs for many functions and locations.
- Organize and provide travel support for executives, process receipts and invoices related to expenses and travel expense system (Concur).
- Organize high-level meetings. Make necessary transportation, catering, accommodation arrangements and organize travel if necessary. Coordinate agendas for senior level meetings.
- Assist with selecting and negotiating favorable rates for entertainment events and hotels to minimize cost.
- Assist with presentation decks, including editing, binding, and sending to location as needed.
- Assist Executives with maintaining and securing professional licenses and memberships.
- Lead special projects.
- Available to assist after working hours in many situations.
- Other duties as assigned by management

- This position will be part of the Corporate team that supports Proterra’s Manufacturing and Engineering operations.
- You will report to the reports to the Chief Executive Officers of Proterra and collaborate with other Corporate team members located at our headquarters in Burlingame, CA and other manufacturing facilities in Los Angeles, CA and Greenville, SC.

Your Experience Includes:
- Bachelor’s Degree with at least 5 years’ experience as an Executive Administrative Assistant or equivalent relevant experience.
- Experience supporting a Board of Directors for private or public companies, and C-level executives is highly preferred.
- Basic knowledge of business functions and processes
- Experience with organizing and hosting customer / investor events.
- Strong Microsoft Software (MS Outlook, Word, PowerPoint, Excel, etc.); especially creating PowerPoint presentations from draft outlines and add appropriate graphics including generating graphs from excel, other artwork, tables, charts, and similar presentation techniques
- Handle office resources: PC, Fax, Copier, Teleconference, Scanner, Videoconference, etc. Knowledge of Oracle iprocurement, Box, and Zoom videoconferencing a plus.
- Proven ability to have a drive for results, look for new challenges, tasks and ways to self-develop
- Experience creating and communicating new processes
