Executive Administrative Assistant - Business Group Presidents (2410)
Job description
SMX is seeking an Executive Administrative Assistant to support SMX Business Group Presidents. The selected candidate will provide high-level administrative support by conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. May also train lower-level clerical staff. Position requires employee to be onsite at local offices (Herndon, VA and Hollywood, MD) regularly and travel for meetings up to 25%.
Essential Duties and Responsibilities:
- Provide direct support to SMX Business Group Presidents for administrative support tasks to include travel processing, schedule management, and correspondence.
- Provided strategic executive administrative support SMX CEO office, acting as the focal point of contact and liaison between, ELT members, SMX customers, Partners, and external clients in a timely and professional manner.
- Draft documents, spreadsheets, and/or presentations to summarize, analyze and/or report on corporate growth business processes.
- Assist with editing, tracking and submission of Project Documentation and overall project documentation packages.
- Review/edit technical reports and other documentation and upload to Program Share Drives and SharePoint.
- Independently executes and monitors project activities.
- Create templates, processes, and work flows, as applicable.
- Edit existing forms and templates.
- Attend meetings, take minutes and action items, distribute/post minutes and after actions, and track action items to completion.
- Respond to communication-related issues in a timely manner.
Required Skills/Experience:
- A minimum of twelve (12) years of experience as an administrative assistant support C-level staff.
- Ability to obtain and maintain secret security clearance.
- Experience with Government opportunity management portals.
- Strong organizational and multi-tasking skills.
- Intermediate to expert level experience with Microsoft Office applications to include Word, Excel, and PowerPoint.
- Ability to work independently and manage workload with strong multi-tasking skills.
- Strong communication and interpersonal skills to work with different management levels and capable of maintaining strong relationships.
- Must be able to effectively handle multiple and shifting priorities and possess excellent time management skills.
- Able to complete tasks within required timeframes with little or no supervision.
- Attention to details even under pressure.
- Capacity to learn rapidly and adapt quickly to change.
Desired Skills/Experience:
- Some Exposure to DoD, Government Contracts, military
- Certified Administrative Professional and/or Professional Administrative Certification of Excellence certifications highly desired
US Citizenship required for work under DoD contracts
