Job Summary

Avantor is looking for an engaging Administrative Assistant to join our Biopharma organization, supporting administrative duties, employee events, and hosting onsite meetings.

This role will be a part-time (30 – 32 hours per week) onsite position based out of our Devens, MA facility. You will have the opportunity to be part of a dynamic and collaborative team. If you are passionate about fostering a positive and supportive company culture – let’s talk!

What we’re looking for

  • Education: High School diploma or GED required; Associates degree or equivalent experience preferred

  • Experience: Minimum 2 years of related experience

  • Collaboration Tool: MS Office (Word, Excel, Outlook, Teams)

  • Able to engage individuals and larger audiences

  • Intermediate level Microsoft Office Suite and computer skills

  • Demonstrated ability to communicate difficult concepts and processes using clear and simple language, visual graphics, and the ability to explain technical topics to novices

  • Ability to lead and coordinate training, development and employee engagement activities

  • Excellent writing and editing skills

  • Ability to collaborate with vendors, subject matter experts and managers at all levels

  • Strong communication and organizational skills required

  • Ability to prioritize tasks, and meet deadlines

  • Ability to work in a team environment

  • Ability to support sites remotely

  • Perform duties with the highest regard for safety and quality

  • Ability to understand and follow site protocols, policies and procedures

  • Must be flexible, forward- thinking, motivated, and have the ability to act independently

  • Develop and execute employee engagement initiatives and events to build company culture and employee morale.

  • Research vendors and perform all related logistical tasks, such as booking services, executing contracts, day-off coordination, and payment.

  • Engage and drive Avantor’s ICARE values with associates in individual and group settings.

  • Host and support onsite events for a variety of stakeholders, such as leadership summits, investor conferences, and customer visits.

  • Responsible for all aspects of meeting planning, hospitality functions or special events that require contract or event agreements to include but not limited to conferences, teammate trainings, annual & general meetings, and client events.

  • Manage all internal and external meeting logistics to include, developing and presenting timelines, venue sourcing, budgets, online invitation/registration process, meeting room layout, food and beverage selection, audio-visual requirements, travel arrangements/group air, off-site functions, post event surveys and all other meeting and event related activities and requirements in accordance with Company policies.

  • Manage internal site wide, and companywide communications.

  • Support all administrative duties in the office and site and ensure that the site is operating smoothly.

  • Provide other administrative support as necessary, including scheduling group meetings, maintaining calendars, doing research, and creating reports.

  • Manage office supply inventory, as required.

  • Perform other duties as assigned.
