Volunteer Management Group Supervisor

JOB DESCRIPTION :

Supervise the volunteer management staff that are responsible for outreach and volunteer recruitment, tracking volunteers, response during events, coordinating with local jurisdictions on volunteer management during an event, and overall coordinating on-site during a response, etc. Number of direct reports (3-8) depending on number of on-site temps we need if multiple events occur at the same time-which is weather dependent and incident dependent. Coordinates and oversees daily operations of federal volunteer programs, including supervising staff, serving as a liaison between the agency and community partners, and recruiting, training, and managing volunteers.


MINIMUM QUALIFICATIONS

Four (4) years of closely related experience, of which six (6) months must have been supervisory or administrative; OR an equivalent combination of related education and experience. Education may not be substituted for the required supervisory experience.


ESSENTIAL FUNCTIONS

  • Coordinates and oversees daily operations of federal volunteer programs.
  • Supervises staff, which includes hiring, orienting, training, assigning and reviewing work performance, annual work performance appraisal, and discipline.
  • Plans, prioritizes, delegates, and makes work assignments.
  • Assists with management of program budgets; ensures program operating expenditures are within budget. Make recommendations for budget adjustments as needed.
  • Works with program management to develop program goals and plan activities.
  • Participates in the development and monitoring of contracts and community partnerships. Ensures all Federal, State, and County policies and procedures are upheld.
  • Prepares operating reports for program management and grant reporting as Develops statistical reports as needed and maintains up to date statistical data for program operations.
  • Recruits, selects, orients, and trains volunteers on policies and procedures. Develops volunteer job descriptions and prepares training materials. Participates in the development of an annual recruitment plan.
  • Maintains current schedules, attendance records, criminal history check records, and other files regarding volunteers. Ensures adherence to Federal, State, and County regulations.
  • Plans recognition events for individuals and service groups. Represents the agency’s volunteer program to the public and news media.
  • Works with Communications Manager and program management in preparing articles and public service announcements, and distributes program and agency recruitment materials.
  • Develops and implements public outreach and recruitment strategies. Assists with the development of promotional materials. Provides educational presentations to community groups.
  • Creates and maintains records, reports, and correspondence. Ensures documentation and reports are provided within designated time frames.
