Job Description Summary
Provides administrative support and management of financial activities for the Office of Continuing Medical Education to include support of the day to day operations of overall CME program. Manages and maintains Continuing Medical Education and Continuing Education (CME) credit storage data base for internal and external participants. Manages registration of all participants in continuing medical education activities. Verifies and documents earned CME credits for all participants.Provides support with on-site meeting management as required. Supports the general procurement and fiscal affairs of the MUSC Office of Continuing Medical Education.

Job Duties:
25% Manages and maintains continuing medical education credit storage data base. Tasks include verification and documentation of credit hours earned by internal and external participants of CME and CE activities, disseminating information to individual health care providers, compiling specialized and detailed information for annual reports required by accrediting bodies. Issues cumulative credit letters and credit summaries upon request.
25% Prepares course materials for the registration process of all MUSC Office of Continuing Medical Education managed conferences (name badges, rosters etc.) utilizing meeting management software. Disseminates weekly reports to all MUSC OCME staff, Activity Directors and Associate Dean by providing current and relevant data (number of registrants, amount of income including exhibit fees and grant support) for all conferences awarded CME credit by the MUSC OCME. Provides onsite management and resolution of preregistration and onsite registration issues for live CME conferences. Assists CME Managers with overall onsite management as required.
25% Processes funds and/or payments for the overall CME operation (ex. registration fees for continuing medical education activities). This process requires attention to detail, depositing funds through the university cashier's office and also includes issuing confirmations and receipts for funds received. Assists in submitting invoices, purchase requisitions, and ISD’s for payment through the accounts payable and procurement offices. Responsible for managing inventory and purchasing of conference materials and general office supplies and equipment. Assists with accounting of individual continuing medical education activities and provides financial data to Administration on a regular basis for review.
15% Develops and disseminates daily, overall and outcome evaluations for managed and non-managed conferences through Survey Monkey. Assists Program Managers in developing email blasts for marketing CME conferences.
10% Interacts with national, regional, state and university officials as well as faculty and staff to facilitate the efforts of MUSC Continuing Medical Education. Assists with overall CME operation efforts in complying and reporting milestones and data for reaccreditation self-study through Accreditation Council for Continuing Medical Education. Manages quarterly CME Advisory Committee meetings. Provides draft of meeting minutes for review by Committee Chair and Director of CME before distributing to Committee Members. Updates Membership roster as needed.
MUSC Minimum Training and Experience Requirements:
A high school diploma and four years relevant experience in business management, public administration or administrative services; or a bachelor's degree and two years experience in business management, public administration or administrative services.
