What you will do:

The Research Administration Specialist is charged with leading a team of pre-award staff, from proposal development through submission direct to sponsors, acting as GCO. Supervise and manage staff and ensure overall delivery of support services with an emphasis on excellent customer service. Collaborate with college leadership to develop and implement policies and procedures. As GCO, this position works with CALS individual faculty, staff, and students and the OSP, to provide administrative guidance for the preparation and development of external research funding. This position currently serves approximately half of the 31 departments within the college and collaborates closely with the Grant Proposal Team (GPT) and administrative managers in CALS. The position backs up an alternate CALS GCO.


This position has the option for fully on-site work or a hybrid work schedule with 3 days per week on the Ithaca, NY campus and 2 days per week remot


Key Responsibilities

  • Research proposals are evaluated and reviewed for compliance with all university, federal, and state regulatory requirements.
  • Review for compliance with the individual sponsor’s guidelines.
  • Sponsors include major federal sponsors such as NIH, NSF, USDA, NASA, DOD, as well as many smaller foundations.
  • Currentlyy exercises signature authority to submit proposals directly to NIH, NSF, USDA (and its associated agencies).
  • Requires a high level of detail orientation, and the ability to remain focused under pressure in order to meet all deadlines as required.
  • Excellent written and oral communication skills required in order to maintain positive interpersonal relationships with all levels of faculty and staff both within CALS and outside agencies.
  • The ability to read, review, and correct a budget is critical.
  • This position has a dotted line reporting relationship to OSP and is expected to participate as a full team member.

What We Need:

  • Bachelor’s Degree with 3 – 5 years of progressively responsible experience with sponsored research administration, including research proposals and budget preparation, proposal submission systems or equivalent combination of education and experience.
  • Ability to effectively supervise, manage, and lead staff and foster a spirit of collegiality and teamwork.
  • Excellent computer skills, exceptional customer service skills, strong oral and written communication skills as well as organizational skills and attention to detail.
  • Handle confidential materials and sensitive information with the utmost tact and discretion.
  • Establish appropriate individual priorities and demonstrating initiative and self-direction to follow through on all areas of responsibility and functioning as part of the team are required.
  • Demonstrate a positive and professional attitude with a commitment to continuous growth and learning.
  • Ability to function effectively under pressure, demonstrating sound judgment while ensuring critical deadlines are met, and adherence to university policies and procedures are upheld.
  • Comfortable working in an environment where change in process/procedures is common.
  • Position requires meeting critical deadlines which will occasionally necessitate evening and weekend work.
  • Must complete supervising@cornell within 12 months.

If you possess these experiences and skills this may be the role for you! There are a few other qualifications that we would view as incredibly helpful in this role, to include:

  • Three years of progressively complex experience in central administrative offices at department, college or university level.
  • Experience with research proposal and budget preparation, proposal submission systems, i.e. Fastlane, Grants.gov, Commons.
  • Familiarity with scientific and legal terms is preferred.
  • Demonstrated ability to effectively lead a team.
