Reporting to the Sr. Vice President – Corporate Treasurer, this position will work with Directors and Managers responsible for a broad range of administrative duties to support the Tax & Treasury and Ownership Accounting Groups.
Essential Duties and Responsibilities:
Answer and direct phone calls.
Schedule meetings, arrange facilities and equipment, and greet guests.
Organize and distributes mail, faxes, and deliveries. Prepare outgoing mail, faxes, and deliveries, including courier and UPS.
Compose correspondence, memoranda, and other documents, some of which may be of a confidential nature, obtain wet ink or DocuSign signature; ensure documents are completed and filed as needed.
Receive and log all incoming checks for deposit for the ownership group.
Prepare bank reconciliations for a select group of accounts using accounting software.
Assist with data entry for the accounts payable function and preparation of letter wires.
Act as vault room administrator, preparing paper and electronic files for upload for the Ownership group of entities.
Assist with Know Your Client and Anti Money Laundering reporting requirements, which may include obtaining documents from the Ownership group.
Prepare completed PDF tax returns for signature, circulate, scan signature pages, and insert into original.
File electronic tax returns, support documents, and mail confirmations. Mail electronic and paper partner k-1s.
Prepare and filing of routine informational returns.
Assist with the gathering and electronic filing of tax support documentation for the ownership group and outside accountant(s).
Maintain records and files for Tax and Treasury Department. Includes scanning, copying, and filing as needed.
Maintain annual state filing list and pay annual fees.
Prepare W-9s for signature and distribution.
Execute other duties and responsibilities as assigned.
Requirements:
High school diploma or equivalent, college degree preferred
5+ years’ experience as an Administrative Assistant, 2+ year at a Sr. level preferred
Proficient computer skills and experience with MS Office products, including Work. Excel, Adobe, Outlook, and Visio. Being familiar with Yardi Property Management Software is a plus. Ability to learn and master new software.
Ability to collect data, establish facts, interpret a variety of technical instructions, and deal with variables
Demonstrated success in following through and completing projects
