Job description
The Scheduling Coordinator is responsible for day to day creation and filling of assigned sites and unassigned sites in Miami-Dade and Broward County. The position is primarily responsible for ensuring all sites are manned with guards who meet site specific requirements.
Requirements Include:
- Full-Time and Full Flex availability, as shifts and schedules may change weekly
- Use of Microsoft Outlook, Spreadsheet Software, and Word Documents
- Knowledge of security operations
- Strong oral and written communication skills
- Strong customer service and service delivery orientation
- Must be detail-orientated and able to handle multiple tasks
- Ability to work at a fast pace and work efficiently under pressure
- Must possess a high school diploma or equivalent
- Must possess a security D License; A security G License is preferred but not mandatory
- Must possess a valid Driver's License in order to drive company vehicles
Responsibilities Include:
- Ensuring all sites have a created and filled schedule
- Receiving and making phone calls regarding schedules, uniforms, and orientation
- Updating valiant with call outs and shift coverage
- Scheduling guards for meetings and classes
- Knowing site specific post orders and ensuring any questions from guards can be answered correctly regarding sites
- Managing unbilled overtime (Making sure minimal is given if unnecessary)
- Updating floaters lists accordingly
- Receiving lists of license renewals and advising guards of their license statuses. Also, receiving updated copies, via text or email, and sending them to the Branch Manager
- Documenting all call outs, no calls/no shows, and late-nesses
- Replying to emails, throughout the day, sent by Command Center, Branch Operations Manager, Branch Operations Director, and Branch Operations Specialists
- Scheduling new hires for appointed requisition forms and sufficient training
- Sending a daily email on what transpired throughout the day and the daily work of the branch coordinator
- Texting guards their schedules correctly and professionally (via text and/or email)
- Making guards permanent schedules to reduce the amount of sending schedules weekly
- Knowing all sites in the Branch and guards who can and cannot be placed at the certain sites
- Under dire circumstances, may be required to leave the office to hold an unmanned post until a post gets coverage
- Under dire circumstances, may be required to help deliver and/or pick up company vehicles
- Any other duties as assigned by Branch Operations Manager

- Work history must include demonstrated strong customer service and work longevity
- Exceptional customer service, active listening, verbal and communication skills, and professional phone voice
- Proficiency with computers and strong typing skills, including Microsoft Office Applications

- Must be a United States citizen or a foreign citizen authorized to legally work in the United States
- Must not use illegal drugs. Must be able to pass a drug test with negative results (except when undergoing documented medical treatment)
- Must submit to an extensive background check, including: criminal history, personal references, employment and education verifications, and Department of Motor Vehicle
- Must be able to provide, upon job offer, a DD214 discharge document with discharge status indicated, if prior military
Physical Requirements and Environment:
Office:
- Minimal to no work in extreme temperatures is expected
Major Activity:
- Working on computer while sitting, standing, walking, and/or listening
Physical efforts to carry out job duties:
- Limited; to include some standing, bending, light lifting, and limited stretching and reaching
