Position Title: Receptionist/Closer
Reports to: The Office Manager
Job Status: Part-Time Monday-Thursday 3pm-8pm
Position Summary: Medical Massage & Acupuncture/ Chehalis Naturopathic Medicine is looking for a Receptionist/Closer to join our team and man our front desk. We are looking for someone who is not looking for a job, but are looking for an opportunity to be part of something exciting and is willing to work hard to make it happen. We have a small team of six receptionists that you will be working with in this position. You need to have excellent communication and customer service skills. Having a basic understanding of administrative and clerical procedures/systems and the ability to multitask in a busy environment is a must.

Essential Functions:
To accomplish this job successfully, an individual must be able to perform each essential function within the scope of the position and willingness to accept other office assignments.
- Maintain a neat, clean, and professional personal appearance.
- Maintain a clean and orderly work area.
- Maintain the appearance of the lobby and hallways.
- Maintain excellent communication and effective working relationships with all Medical Massage & Acupuncture/ Chehalis Naturopathic team members and all providers.
- Monitor the flow of patient check in and check out. Keep patients informed of delays.
- Oversee front office collections of co-pays and past due balances.
- Schedule patient appointments
- Make confirmation calls to patients
- Provide basic information to patients about the clinic
- Create New Patient packets
- Pull files and locate necessary charts as needed
- Scanning in medical records we receive for our ND patients.
- Setting up telemedicine appointments through ZOOM.
- Appointment prepping and setting up New patients in our Charm EHR.
- Perform other clerical duties as necessary including but not limited to printing forms, photocopying, faxing, answering multi phone line phone calls, sorting and processing mail.
- Provide excellent customer service by being attentive, respectful and professional at all times; ensures understanding of customer request and follows-through as promised; being proactive in identifying and addressing member concerns, or problems.

Education and Experience:
- High school diploma or equivalent required
- Medical Front Office or administrative experience preferred but not required
