Primary Objectives:
Project Manager Assistant will be responsible for assisting with project management tasks.
ALS Environmental
Core responsibilities
Delinquent equipment
In a friendly and professional manner, coordinate between clients and project managers to manage equipment and maximize timely return of equipment within specified rental periods
- Review logins daily, compare equipment returned/received versus what was sent
- Confirm with Sample Receiving and/or Project Managers
- Contact clients via email or phone re: missing equipment
- Invoice for overdue equipment
- Run weekly report of overdue equipment
- Identify equipment out past 2 weeks from Ship date
- Email/call re: overdue equipment
- Bill for additional rentals if necessary/relevant
Support Project Managers
- Invoicing
- Prepare cover letters
- Manage phones, answer calls in a professional, friendly manner
- Prepare/generate final client reports
- Email reports and other deliverables
- Filing
- Ensure project documents are complete, current and stored appropriately
- Archive older jobs/reports
- Find/pull jobs/reports
- Credit cards - email invoice and CC form to ALS corporate accounts receivable, then save receipt and add to job folder in Laboratory Information Management System (LIMS)
- When client checks are received at the lab, add to check log, scan, upload to job folder in LIMS, send email to corp AR that a check is being mailed, mail to lockbox
Additional tasks and responsibilities
- Sign in visitors
- Get and distribute mail
- Monthly inventory and ordering
- Office supplies, Lunchroom/Janitorial Supplies, Printing Stationery, Postage meter funds and ink, Copier toner
- Other support tasks as requested
Qualifications:
Position Requirements:
- Bachelor’s degree is preferred.
- 1 - 3 years of laboratory experience is preferred.
- 0 - 5 year of project management experience is preferred.
Core Competencies:
- Proficient verbal and written communication skills.
