This position will work a hybrid schedule which includes a combination of working both onsite in La Jolla and remote.
DESCRIPTION
UCSD’s Office of Coverage Analysis Administration (OCAA) is dedicated to ensuring billing compliance for clinical research. A coverage analysis harmonizes the clinical trials protocol, budget, contract and informed consent to determine what is billable to insurance based on federal/state billing regulations including Medicare’s National Coverage Decision (NCD) 310.1 as well as other third-party billing rules. It ensures consistent application of Medicare rules across studies, and consistent application of study documents. The office works with other key offices, including the Office of IRB Administration and the Office of Clinical Trials Administration to assure harmonization of regulatory and budgetary processes in clinical trials.
Under direct supervision of the OCAA Director, the OCAA Admin Specialist provides extensive analytical and administrative support to the Office of Coverage Analysis Administration. The position serves as a member of the OCAA Coverage Analysis and Budget team and independently manages various deadlines and workload assignments while providing prompt customer service. Provides data management and analysis, project management, and policy/audit and compliance support. Manages information in UCSD databases ensuring data integrity, consistency, and effectiveness. Responds to data requests via understanding and utilization of various UCSD systems (i.e. Kuali, iShare, Monday.com etc.).
Responsible for proactively solving problems, informing appropriate individuals, and ensuring proper follow-up. Provides OCAA administrative support for OCAA team members, faculty, consultants, and external parties/clients. Responsible for managing the departments' main phone line and inbox, serving as the central help desk for OCAA activities. Additional duties include study intake/triage of clinical trial protocols submitted to OCAA, review and identify key procedures required by the protocol and necessary study documents to perform coverage analysis and budget review/development, and manage project tracking and correspondences with research faculty and staff relating to study submissions.
MINIMUM QUALIFICATIONS
Bachelor's degree in related area and / or equivalent experience / training.
Ability to read and comprehend complex materials. Ability to read and comprehend clinical trial documents.
Proficient in medical terminology.
Excellent writing and oral communication skills (clarity, sentence / paragraph construction and grammar, et cetera).
Strong skills in problem solving, multi-tasking, working with frequent interruptions, and is an effective listener.
Proficiency with office equipment and knowledge of standard office software. Proficient in Outlook and Excel.
Demonstrated ability and desire to learn; curiosity around the research activities in which they are involved.
Familiarity with internet searching.
Basic knowledge of relevant federal, state, organizational and system policies.
Ability to perform administrative duties with a high level of proficiency and competency. Escalate issues to OCAA supervisors as needed.
PREFERRED QUALIFICATIONS
- Basic knowledge of institutional clinical trial guidelines and Medicare's Clinical Trial Policy 310.1.
SPECIAL CONDITIONS
Occasional overtime may be required.

Pay Transparency Act
Annual Full Pay Range: $37,900 - $85,300 (will be prorated if the appointment percentage is less than 100%)
Hourly Equivalent: $18.15 - $40.85
Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
Job offer is contingent on successful engagement in the UC COVID-19 Vaccination program (fully vaccinated with documented proof or approved exception/deferral).
If applicable, life-support certifications (BLS, NRP, ACLS, etc.) must include hands-on practice and in-person skills assessment; online-only certification is not acceptable.
