Wexford Hilton Head is seeking a full-time Member Services & Events Coordinator for our Clubhouse Operations.

Reports to: Director of Marketing & Member Services

Workweek: Tuesday through Saturday and some evenings as scheduled

Education and Experience Requirements:

  • Associate’s degree in Business Administration, Resort Management or Hospitality Management or related field and three (3) years hospitality experience is considered a plus.
  • Any equivalent combination of experience and training that provides the required knowledge, skills, and abilities.

Job Knowledge, Skills and Abilities Required:

  • Ability to establish and maintain effective relationships with the Property Owners, other supervisory/administrative staff, employees, guests and the general public.
  • Ability to maintain confidentiality of all member information.
  • Ability to effectively prioritize daily schedule, manage time and self-start on projects.
  • Self-motivated and ability to work independently.
  • Ability to handle stressful situations in a professional manner.
  • Team player with a positive attitude.
  • Ability to make decisions; Solve Property Owner requests/concerns in a timely manner.
  • Strong verbal and written communication skills. Must be proficient in MS Word, MS Excel, MS Outlook, MS Publisher, and MS Powerpoint. Knowledge of Adobe Software, general Graphic Design software or Jonas Club Software a plus.
  • Strong analytical and problem-solving skills.
  • Excellent attention to detail.

Essential Job Functions:

Clubhouse Concierge Services:

  • Meets and greets Property Owners and Guests in a professional and friendly manner; answers Clubhouse telephone; serves as Clubhouse concierge. Present during club operating hours and at select social events to assist in meeting and greeting members and guests; also takes photographs of members at select social events.
  • Effectively responds to member comments in accordance with club standards, policies and rules; uses ideas, feedback and suggestions to continuously improve the services provided to members.
  • Create and Implement a Concierge Program in coordination with the Director of Marketing & Member Services.
  • Maintains the property owner database in Jonas with correct contact information, including email addresses & photos.
  • Plans and manages Wexford Wellness programs.

New Member Services & Events:

  • Processes paperwork relative to new Property Owners and creates their Jonas account. Meets with new members (and renters with membership privileges) and conducts an orientation and takes their photos. Relays information to the Security Gatehouse & Management Team via email introduction; orders mailbox nameplates, and Yacht Club cards.
  • Submits new member photos and information for inclusion in the Club Times. Informs Management Team about new Property Owners to enhance the orientation process to include welcome contact from different amenities.
  • Informs members of renter policy when applicable, processes rental agreements and maintains files of all rental leases.
  • Serves as the liaison for the Wexford Ambassador Program and plans new member socials.
  • Be familiar with the Jonas Operating System related to special events (JAM).
  • Assist the Clubhouse Manager with creating banquet event orders (BEO’S) for distribution to the F&B department managers on a weekly basis.
  • Assist with creating flyers, printing menus for member special events as needed.
  • Assist with planning and working with the Club’s Youth Summer Camp program.

Prospective Members

  • Assists Real Estate professionals in providing information to their clients and conducting tours of the community with prospective buyers.
  • Assists with planning realtor functions.
  • Upholds policies related to Realtor access and maintains the Realtor Log and Database.
  • Provides marketing materials and other applicable training for staff members to conduct a prospective member tour.

Marketing & Administration:

  • Promotes club activities using the Clubhouse TV, newsletters, bulletin boards, notices on the club website and other means.
  • Coordinates efforts with the Director of Marketing & Member Services to help maintain the Wexford website and social media.
  • Create and distribute eBlasts to the members.Help build Wexford’s presence with the realtor community.Assists with other projects as needed.Fills in for the Director of Marketing & Member Services when needed.
  • Attends staff meetings. Attends applicable club committees to assure members’ interests are consistently addressed (i.e. House & Social Committee and Marketing Committee).
  • Submits overall performance of membership activities and real estate updates for the GM Report.
  • Surveys other clubs for information useful in club membership policies.
  • Keeps the Member Services Coordinator SOP up to date.This position is minimally supervised.

This position does not have any supervisory responsibility.

This position does have access to confidential information, including property owner files, email communications, annual budgets, and reports.

Physical Demands:

Must be able to sit for a prolonged period of time.

Must be able to stoop or kneel to access files.

Must be able to speak, write and read using fluent English.

Must be able to see the computer screen, paperwork, etc.
