Job Summary
This position is critical to the successful implementation of the Post-Secondary Enrollment Option (PSEO) specialty program and the college’s curriculum, course offerings, and data practices. This position has direct responsibility for the Post-Secondary Enrollment Option (PSEO) specialty programs. This position acts as a critical resource and decision maker in the determination of acceptance to the college for PSEO & concurrent high school students; communicates directly with high school counselors and college personnel to resolve student records, billing, and registration conflicts; and supports the Registrar with maintenance of the curriculum library within Curriculum Management in the Integrated Statewide Record System (ISRS). This position is responsible for student record management and oversight of document imaging (Perceptive Content) for records and registration; assists with maintenance of the registration setup which controls the college registration process and includes encoding of all registration restrictions; develops a comprehensive communication plan to students regarding records and registration. Other duties include preparing agenda and student information packets for the Petition Committee, providing technical assistance to other departments within Student Affairs, as well as providing college-wide direction, training, and problem-solving for the creation and management of curriculum records, course coding, and course scheduling. This position plays a critical role in the implementation of consistent curriculum and course coding for not only PSEO but college-wide. This position oversees and provides training and leadership to the Academic Dean’s administrative assistants and registration staff, serving as an information resource for a wide variety of questions and issues, has responsibility for ensuring the accuracy of curriculum and course records, and providing direct service in approving and processing student record data access and report requests.
Qualifications
Minimum Qualifications
- Background: Associate Degree or three or more years of equivalent office work experience.
- Customer Service: Excellent customer service and communication skills including the ability to establish effective and productive working relationships among a diverse constituent population. Providing general and specialized office support on the phone, in person, and online which requires common courtesy, tact, interest in positive problem-solving, empathy, and the ability to organize ideas logically.
- Policy & Procedure Integrity: Ability to interpret policies, procedures, and regulations independently.
- Technology Utilization: Knowledge and ability to fully utilize multiple complex and varied technology systems with little or no supervision, including database management, electronic calendar management, word processing, spreadsheets, and databases in software such as Microsoft Office; sufficient to create, modify and manage them.
- Information Technology Experience: Ability to work with information technology development staff in implementing systems or changes to systems, demonstrated ability to understand the interrelationships between multiple, complex information technology systems.
- Employee Relations: Ability to maintain positive, productive relationships with all stakeholders to aid in department efficiency, the student experience, and the overall success of the college.
- Problem-Solving: Ability to interpret user explanations of problems and apply advanced troubleshooting techniques to come to a resolution/solution. Ability to convey complicated problems to others and proactively assist in developing solutions.
- Training: Ability to effectively communicate complicated information and provide training.
- Data Entry: Ability to sufficiently input and output data completely, accurately, and without discrepancies.
- Performance: Ability to carry out duties in a setting where supervision is not constant.
- Inclusiveness: Demonstrated ability to effectively work with diverse populations.
Preferred Qualifications
- Bachelor’s Degree
- Experience working in a higher education setting.
- Experience with ISRS, ARSA, Power BI, Curriculum Management, and document imaging.
- Experience with admissions, records, and registration terminology sufficient to review files and draft related documents and correspondence with accuracy including awareness of higher ed policies and procedures.
- Ability to develop and maintain the confidentiality of private data as well as the ability to use professional discretion when dealing with confidential matters and issues.
- Experience working with underserved populations or multilingual or multicultural backgrounds.
Additional Requirements
In accordance with the Minnesota State Vehicle Fleet Safety Program, employees driving on college/university business who use a rental or state vehicle shall be required to conform to Minnesota State's vehicle use criteria and consent to a Motor Vehicle Records check.
