As the Leave and Labor Compliance Specialist, you will be primarily responsible for administering, coordinating, and tracking all leaves of absences within the guidelines of company sponsored policies, federal, state, and local laws. This person will also be responsible for ensuring that all medical records and files are maintained in accordance with legislative and regulatory requirements and internal agency policy. This individual will also be responsible for ensuring compliance with processing, record keeping, and managing all leaves of absence from start to conclusion of leave, workers compensation, reasonable accommodations, and staff safety within Bethany.
This role will also serve as a collaborative partner to the HR Manager role for Safety Committee related matters. The Leave and Labor Compliance Specialist will ensure adherence with labor law poster distribution, updates, and communication to all site locations on compliance expectations. This individual will be well-versed in leave of absence policy and procedure, as well as worker’s compensation, ADA, and all other applicable federal and state accommodation benefits, while also accurately addressing incoming HR tickets related to these matters.
This position is expected to function effectively with moderate supervision while following the guidelines given on procedures, along with agency, federal, and state regulatory requirements.
ESSENTIAL JOB RESPONSIBILITIES
- Provides leave of absence management from the employee’s initial leave request to the employee’s return to work date or off-boarding. This includes obtaining and completing all required paperwork, determining leave eligibility, partnering with the applicable work location, and accurately designating leave;
- Communicates effectively with employees and site locations on leave designations to facilitate smooth and timely return to work;
- Advises supervisors and employees on the interaction of leave laws related to FMLA, paid time off, workers compensation, and disability benefits;
- Maintains complete and accurate records of all leave requests to include pending, active, and past events statuses in accordance with specified legal requirements and agency policy;
- Ensure confidential data and information storage for all medical documentation related to PHI is in compliance with HIPAA and other applicable policies and practices;
- Coordinate and administer workplace location changes in collaboration with the appropriate parties to support remote work arrangements, and worker’s compensation requirements;
- Accurately interprets policies related to the role within the Employee Handbook and propose necessary updates to direct manager;
- Administer and coordinate the American with Disabilities Act (ADA) work accommodation requests and needs in partnership with the respective level of management within People and Culture to ensure compliance with legislation;
- Update and maintain all internal Standard Operating Procedures (SOPs), and communicate changes related to leave of absence, worker’s compensation, reasonable accommodations, and other related labor updates to internal HR staff during staff meetings;
- Investigate and report on industrial accidents for insurance carriers.
- Process all workplace injury requests in a timely manner and in accordance with policy and regulatory requirements;
- Effectively coordinate all worker’s compensation related questions and matters to ensure compliance with federal and state requirements;
- Conducts regular audits of the leave process to ensure adherence to policies, guidelines, and regulations;
- Effectively address employee questions regarding leave, and all applicable time off banks;
- Address, escalate, and/or resolve assigned HR tickets;
- Coordinate the annual MVR audit, and collaborate with direct manager to ensure the appropriate follow-ups occur relating to employee relations;
- Serve as the primary point of contact for branch compliance and ensure all branches have up-to-date labor law posters;
- Maintain the internal HR quality checklist to ensure branch compliance with all federal and state regulatory requirements;
- Monitor, track and processes GovDocs invoices, shipments and updates to branch locations;
- Collaboratively work on special HR projects, as assigned;
- Stay abreast of all federal, state, and local regulatory requirements related to employment law;
- Complete other duties as assigned.
QUALIFICATIONS:
- A minimum of a Bachelor's degree in a related field of study from an accredited college, or the equivalent related work experience with knowledge of benefit legislation, to include but not limited to Worker’s Compensation (WC), Americans with Disability Act (ADA), HIPAA and federal and state leave requirements.
- At least two years of Human Resources experience, preferably in leave and benefit administration;
- Human Resources Certification (SHRM-SCP, SHRM-CP, PHR, SPHR) preferred;
- Must have a demonstrated passion for customer service and highly organized;
- Must possess a strong attention to detail with exceptional problem solving and analytical skills;
- Exhibit a high level of critical thinking skills, while demonstrating an ability to develop creative solutions;
- Excellent verbal and written communication, and interpersonal skills;
- Must be reliable with time sensitive deadlines and tasks;
- Exercise a high level of confidentiality;
- Working knowledge of MS Office Suite, SharePoint, and HRIS systems (UltiPro preferred);
- Computer and typing skills sufficient to perform essential job functions;

- Active motor vehicle license and maintain a reliable vehicle with adequate insurance coverage;
- Pass a criminal history screen, including state and local child protection agency registries;
