The Department of Chemistry and Biochemistry (CBC) at the University of Arizona is seeking a qualified candidate to fill the position of Grant and Contract Administrator I in the Business Office. The successful candidate will be a dynamic, self-starting individual who enjoys working in a team environment. The successful candidate will take initiative to work independently and collaboratively on a wide variety of research administrative duties and display an aptitude for problem solving, as well as maintain effective attention to details, meeting deadlines and prioritizing competing demands. It is important that the candidate be able to perform these tasks at high level of accuracy and possess excellent communication and interpersonal skills, including the ability to collaborate successfully with various constituencies such as faculty, administrators, staff and students.

- Prepares monthly financial reports and provides accounting support for assigned group of faculty, which include federal and non-federal research grants, contracts, gifts, departmental state and designed accounts
- Prepares intricate journal entries and detailed cost accounting information to analyze and identify inaccurate transactions on assigned accounts. Investigates and prepares appropriate transactions to correct errors. Acts as a liaison between PIs and the University to communicate and resolve any issues that arise concerning expenditures
- Prepares spending projections for all financial accounts to help assist the faculty with making budget decisions. Based on faculty feedback, prepares “what-if” funding scenarios and conducts expenditure forecasting to aid award management throughout the life of the award
- Reconciles cost-share accounts and makes cost-sharing adjustments to reflect appropriate labor distribution or related cost-sharing obligations. Ensures payroll distribution is accurate for faculty, graduate students, fellows and support staff on a bi-weekly basis
- Reviews and approves daily transactions to ensure accuracy within University, Federal and Non-Federal regulations.
- Conducts thorough review of all award terms and conditions to ensure compliance
- Assists in proposal submissions for faculty who apply for internal funding, including budget and budget justifications.
- Serves as a primary point of contact between the Faculty and other admin units on campus to ensure that all requirements associated with the unit internal submissions of applications, and for internal and external submission acceptance and conduct of awards, and issuance and monitoring of compliance are met.
- Provides interpretation of sponsor guidelines and facilitates communications with grant making agency staff when clarifications are needed.
- Develops and maintains up-to-date knowledge of Federal, non-Federal grant and contract regulations, with an emphasis on proposal guidelines and systems along with UA’s policies and procedures
- Provides solutions to problems presented and recommends changes to methods or procedures to management, based on knowledge of accounting principles and practices. Interprets data and points out trends or deviations
- Processes Graduate stipends and waivers
- Bachelor's degree or equivalent advanced learning attained through experience required
- 1 year of relevant work experience required
- Experience with UA policies and procedures
- Experience using UAccess Financials, Research, Employee, Analytics, and Student
- Experience working with procurement procedures; direct experience w/University procedures preferable, federal, state and University
- Experience in post-award contracts and grants administration within a higher educational environment
- Experience with budgeting and sponsored research accounting
