Summary

The Office of the President at the University of Michigan seeks to fill the role of Front Desk Coordinator for the office. The Front Desk Coordinator is responsible for managing the Office of the President’s reception in a professional manner. This position serves as the central telephone contact for the President’s Office by triaging calls from faculty, staff, students, parents, alumni, donors and the public. The role requires familiarity with, and an up-to-date knowledge of, University activities and policies. The position also serves as the main point person for greeting and receiving visitors, processing mail and deliveries, and maintaining general office and kitchen supplies. As a member of the Office of the President’s team, the receptionist also provides some back-up clerical support as needed. As front desk coordinator, this position requires excellent communication skills and a professional manner.

The minimum salary for this position is $42,000, but a higher salary may be offered based on the selected candidate's experience. This position will work in-person on the University’s Ann Arbor campus Monday - Friday, but work on evenings and weekends may occasionally be needed to accommodate office schedules.

Responsibilities*

  • As the first point of contact for the Office of the President, this position must provide excellent customer service, including representing the Office in a warm and friendly manner.
  • Perform clerical work as needed and requested.
  • Respond to inquiries from within the department, from other departments and campus community, as well as our external constituencies. Direct matters to appropriate individuals for action and follow-up as needed.
  • Answer, screen and route all calls. Must exercise sound judgment and utilize discretion as necessary. Ability to problem solve effectively.
  • Greet and direct visitors to appropriate meeting areas, introducing guests as appropriate.
  • Receive and distribute all incoming faxes, mail, papers and deliveries. Contact appropriate staff when items are received. Process outgoing packages and mail.
  • Perform reception and office opening and closing procedures.
  • Filing and records management.
  • Manage and coordinate the President’s conference room and schedules for conference and hoteling rooms in the Ruthven Building.
  • With supervisor’s oversight, coordinate reception desk backup schedule for vacation and sick coverage.
  • Maintain reception desk procedures manual.
  • Plan, order food for and implementation of office events as necessary. This may include setting up for breakfast or lunch meetings in the office, or for receptions hosted by the president’s office.
  • Perform clerical work as needed and requested.
  • Perform other duties as needed and assigned.

Required Qualifications*

  • Associate’s degree or equivalent combination of education and experience from which comparable knowledge and abilities can be acquired.
  • Minimum of 3 years working as a receptionist or in a related professional role requiring effective prioritization, troubleshooting, strong attention to detail and working independently.
  • Extremely punctual and reliable, proactive, and responsible.
  • Interpersonal and communication skills are essential.Must have excellent judgment; ability to function productively in an ever-changing, high-stress, fast-paced professional environment with numerous interruptions.
  • Strong commitment to advancing diversity, equity, and inclusion.
  • Timeliness and ability to handle deadlines.
  • History of working hard, working smart, and a dedication to providing the highest level of customer service possible.
  • Knowledge and experience in common office software and an openness to learning new tools as needed.

Desired Qualifications*

  • Knowledge of University policies, procedures and regulations, and of the university administrative and functional organization.
  • This position requires enthusiastic customer service skills, confidentiality, dependability, professional office etiquette and excellent communication skills (both verbal and written).
  • The ability to set priorities, work independently and as a team member, multi-task, take initiative, and interact effectively and professionally with staff and visitors is essential.
  • The ability to learn quickly and work accurately, with strong attention to detail and the ability to handle sensitive information with complete confidentiality and care is of utmost importance.
  • Must be supportive of, and participate in, change initiatives to improve service, efficiencies and/or productivity.
