TITLE: Foundation Administrative Associate
SCHEDULE: M-F (100% Onsite)
HOURS: 8:30am-5pm
Office Location: Sunnyvale
The posted compensation range of $21.19/HR - $29.13/HR is a reasonable estimate that extends from the lowest to the highest pay Pathways Home Health & Hospice in good faith believes it might pay for this particular job, based on the circumstances at the time of posting. Pathways Home Health & Hospice may ultimately pay more or less than the posted range as permitted by law.
POSITION SUMMARY:
Responsible for the administrative support and office management of the Foundation department, including general administrative and fundraising duties and support, filing electronic and hard copies of documents, performs routine accounting tasks regarding donation processing, and team member and Foundation Board support.
AREAS OF RESPONSIBILITY:
Administrative Functions
- Responsibility for general administrative duties in the Foundation and observes confidentiality of donors and families Personal Identifiable Information.
- Greets the public and represents the organization in a professional manner in person and on the telephone.
- Responsible for the neat and orderly appearance of all common areas of the
- Foundation work space including volunteer areas and storage room.
- Creates and maintains systems to ensure office organization.
- Updates and Maintains the Office Procedure Manuals
- Oversees, in conjunction with the IT department, the maintenance of all office equipment, telephone, and information systems.
- Monitors and maintains office supplies and printed materials inventory per established guidelines and as requested.
- Sorts and distributes mail; opens mail and determines level of priority.
- Completes routine accounting tasks including creating deposit slips, processing credit cards, making bank deposits, and managing purchase orders, invoices, and expense tracking.
- Uploads critical documents to the appropriate location on the shared drive.
- Responsible for general office filing and storage organization, on-site and off-site.
- Responsible for routine correspondence memos, agendas, documents, minutes, spreadsheets, and proofreading.
- Supports the activities of the Foundation Board and Honorary Board, including preparing minutes, board packets and materials, scheduling meetings, arranging meeting details, and taking minutes.
- Logistical support for department team members, including arranging meetings, preparing materials, taking minutes, and other tasks as directed.
Development and Fundraising Functions
- Monitors obituaries daily and works closely with the Database Manager to apprise them of the information.
- Accurately enters data into the donor databases and produces reports as needed.
- Supports special events as requested.
- Provides administrative and project support and assistance to the Foundation team members as requested.
- Participates on committees as requested.
- Performs other duties as assigned consistent with skills and training and the mission and goals of Pathways.
QUALIFICATIONS:
- Three years of progressively responsible administrative support experience. Nonprofit fundraising environment and/or healthcare organization preferred.
- Demonstrated interest in fund development. (fundraising efforts)
- Must have strong interpersonal, communication and customer service skills.
- Must be a proactive self-starter.
- Must demonstrate proficiency with computers, including Microsoft Suite, Google Suite and Adobe.
- Knowledge and experience with donor databases, Raiser’s Edge preferred.
- Must be flexible, well organized, and detail-oriented.
- Excellent time management skills, able to multi-task and maintain efficiency despite distractions and numerous interruptions
- Must demonstrate a positive can-do approach to work.
- The ability to flex their work schedule to meet departmental needs, including occasional evenings and weekends.
- Personal automobile with valid automobile insurance available for work as needed.
- California driver’s license and current automobile insurance with $100,000/$300,000 limits.
