Job Title: Flight Coordinator

Summary
Responsible for the scheduling, revision, and cancelling of flights. Also responsible for processing financial documents for payment of vendor invoices and employee expense reimbursements.
Principal Duties and Responsibilities
  • Receive requests for aircraft services and entre into the scheduling system
  • Arrange ground transportation, aircraft services and lodging, as necessary, for crew and passengers
  • Maintain department records including flight, maintenance, financial, and personnel records
  • Prepare trip packets for passengers and crew
  • Arrange catering services
  • Provide accounting services such as SIFL reporting, auditing, and submitting invoices for payment
  • Coordinate chartered aircraft services when necessary
  • Schedule flights to ensure flight crews are in compliance with company flight and duty time limitations
  • Maintain a flight following system to ensure aircraft safety
  • Coordinate flight and maintenance schedules with maintenance personnel
  • Maintain detailed department financial records and generate inter-company invoices
  • Track and enter employee vacations in company time tracking computer applications
Required Qualifications for Position
  • Associate’s Degree or at least two years aviation-related experience or travel agency experience
  • Ability to communicate effectively in both oral and written form.
  • Proficient with personal computers including, but not limited to: spreadsheets and electronic communication.
  • Knowledge of complex computer software related to flight dispatching and logistic support
  • Knowledge of PC-based accounting software
Preferred Additional Qualifications for Position
  • Completed FAA aviation weather observer’s course or holds a pilot’s license
  • Bookkeeping and/or accounting experience
