Job Title: External Director of Operations

Position Reports To: Executive Director

Location: Nashville, Tennessee

Who are we? At STRIVE Collegiate Academy, our mission is to prepare middle school students for success in high school, college, and career. We will achieve this by empowering each student with a literacy-based curriculum aligned across all content areas in a culture that encourages leadership, virtue, and excellence as the foundation for success in all of their endeavors.

STRIVE Collegiate Academy is a tuition-free college preparatory charter school, serving students of Nashville, TN. We are dedicated to closing the achievement gap between low-income students and their more advantaged peers. STRIVE opened in July 2015 and serves grades 5th-8th grade. STRIVE plans to serve students in the McGavock Cluster (Donelson, Hermitage, Old Hickory, & Napier) and are committed to going above and beyond to ensure students are successful in high school, college, and life.

Position Overview

Human Resources (HR)

  • Health Benefits (insurance, medical, dental, vision, and disability)
  • TCRS or Retirement
  • Onboarding Process (i.e. Certifications, Background Checks, etc)
  • Payroll (Paylocity): W2 (January).
  • PTO: Calling in Sick Process; Sick Notes (Internal)
  • Substitute Process (Enriched)
  • Volunteers: Background Checks, Sport Volunteer Coaches (MNPS Background)
  • Staff Handbook

Finance

  • Track invoices, receipts and submissions to EdTec
  • Partner with MNPS to pay Refs (Arbiter Pay)
  • Maintain contracts with outside contractors
  • Maintain Square & Cash App accounts
  • Monthly budget meetings (EdTec)
  • Lead the annual audit process (SquarMilner): organizational of Physical Files—create central storage space to prep for annual audit
  • Submitting our annual budget and audit to MNPS

Calendar & Schedules

  • Work in collaboration with School Leader to finalize school calendar - Submit calendar to MNPS - Place new calendar on STRIVE’s website
  • Work with leadership team to input professional development days and topics
  • Work with culture to plan field lessons and events (i.e. calendar, schedule, logistics, etc.)
  • Work with the culture & academics team to calendar all culture events (i.e. events, parent meetings, tutoring, etc.) for the school year
  • Work with the Ops team to calendar drills, menu order dates and staff duties
  • Work with Director of Development to input recruitment (student and staff) events

Facility Management & Appearance

  • Lead contact for Maintenance (Smart Space)
  • Lead contact for Cleaning (Corporate Cleaning Systems)... (All school spills, accidents, and sick clean- ups)
  • Monitor cleaning services and areas throughout the school
  • Maintain cleaning procedures (top scrub in winter, waxing in summer)
  • Creating & maintaining a staff cleanliness expectation structure
  • Creating a schedule for common space vision and execution
  • Creating a BOY and EOY process for the facility
  • Security Plans/Emergency Classroom Plan updated and posted
  • Given new facility, fill open spaces with signage and pictures
  • Ensure that any touch up painting is taking place throughout the school
  • Ensure walls are neat and clean throughout the year
  • Maintain facility audits to ensure strong oversight of the facility and needs are identified and addressed

IT (Information Technology)

  • Lead and create Onboarding: staff laptops, tablet, tech cart distribution/agreement
  • Lead contact for Computer Pros (i.e. blocked websites)
  • Lead the Chromebook distribution/student agreement
  • Lead contact for tech vendors: Dex Imaging, Clearlink, Jive
  • Ensure that Jive app for teachers are functioning for student calls and whole school all calls
  • Lead contact for our Google Account (setting up students and staff)
  • Lead STRIVE’s website

Governance

  • Maintaining school budget with Edtec in preparation of Board Meetings

Skills and Qualifications

  • Unquestioned integrity and commitment to STRIVE’s vision, mission and values
  • Bachelor's degree and minimum 3-4 years of work experience in similar field required
  • Outstanding project management and stakeholder management skills
  • Strong track record of collaborating with others and building relationships
  • Ability to self-direct, prioritize and multi-task among competing goals, while exhibiting flexibility in a fast paced, entrepreneurial environment
  • Experience working in a school preferred
  • Excellent written and verbal communication skills with keen attention to detail

Compensation We offer a competitive salary and excellent benefits package, depending on experience and qualifications.

Physical Demands and Work Environment: The physical demands and work environment characteristics described here are representative of those that must be met by the employee to successfully perform the essential functions of this job.

  • Physical demands: Long periods of standing, sitting, as well as squatting and kneeling; and have the ability to lift items up to 25 lbs is required. There will be continued use of hands, wrist and arm movements. Requires normal/corrected vision and hearing. Very little physical effort will be required. Position will require very limited over-night travel.
  • Work environment: Position will have periods of extended work week hours. Required to understand the importance of the job assignment and strive for high quality performance in all position responsibilities.
