Worley have an exciting opportunity for an experienced Executive Assistant to support our Executive Group Directors.
Based at our Houston offices and work from home, this is a fantastic opportunity to be involved in exciting initiatives as we work towards a better, brighter tomorrow.


Responsibilities


  • Working in an autonomous environment dealing with “confidential and sensitive” information (acting as a “gate keeper” to minimise disruptions and duplication of work).
  • Represent the Executive Group Director, at all levels within the Worley business while liaising with other Group Executive Assistants globally.
  • Effective diary and inbox management
  • Organisation of meetings, functions and workshops as required, both internally and externally
  • Taking minutes at Transformation Venture Board meetings
  • Recording of the Executive Group Director HSS Leadership Activities into Worley’s Assurance system
  • Organisation of complex domestic and international air travel, accommodation, hire cars, Visas, train travel to meet COVID regulations globally
  • Credit card reconciliation / expenses / invoices
  • Arrange IT requests where appropriate
  • Preparation of Monthly Directors Reports for the Office of the CEO to meet strict deadlines
  • Creation and formatting of contract documents, correspondence, papers, agendas, minutes, and presentations to meet Worley’s strict brand guidelines
  • Preparation and updates to the Transformation organisation charts as appropriate
  • Maintain the Sustainability Transformation Teams site ensuring documents are secured at the appropriate level required.
  • Maintain effective electronic and hard copy filing/archiving system to ensure records and documents are suitably protected from a confidentiality viewpoint, damage and are readily accessible when needed

About You


  • Minimum of 8-10 years industry experience in an Executive Assistant capacity, ideally in the same or similar industry
  • Able to show initiative, be organised and proactive
  • Highly competent in MS Office Suite
  • Able to be flexible with work hours to facilitate global meetings across several time zones
  • Excellent customer focus in building relationships
  • A person of integrity who is trusted by others and consistently honours their commitments.
  • Excellent verbal and written communications skills, including the ability to convey information and ideas to individuals and groups, and make presentations when required.
