Job Description:
· The Executive Administrative/ Receptionist position would be responsible for independently performing day to day Administrative tasks.
· The employee will also be responsible to provide remote administrative support to a similar facility i.e., CMU, Pittsburg and may on few occasions be required to travel to CMU Pittsburgh for major events.
The broad administrative responsibilities for this function include:
Reception tasks
- Reception Management i.e., receive clients / guests at the front desk & coordinate all arrangements for Client visits (including arranging local travel, transportation, accommodation, banquets etc).
- Mailroom function & Shipping tasks as required (through Fedex / UPS / others)
- Maintain conference room reservations, and ensure rooms are cleaned & ready for meetings.
- Order & manage supplies (pantries, copiers, office supplies, etc.)
Administrative tasks
Facility Management: Ensure proper upkeep of the facility (comprising of but not limited to Managing Security requirements, Housekeeping, Material Movement etc.)
Security: Handle Physical Security responsibilities to ensure optimum functioning of all Security and Access Control Systems, monitor & analyze CCTV coverage, grant / revoke access, data reconciliation, report generation etc.,
Purchase Functions: Ensure timely procurement of required items, certifying invoices for payment etc by adhering / complying with all aspects of CLIENT policies.
Audits: Always ensure audit readiness by complying with & enforcing CLIENT Policies.
Documents/Report & Returns:
a. Review & render all mandated reports & returns per policy.
b. Ensure all important location documents are prepared to comply with audit requirements.
Others:
- Be available on site on all working days to ensure effective Administration of the premises.
- Undertake any other Admin task that may be required to be done or assigned by Supervisor / Admin Head, N.A
Qualifications and associated Attributes:
- Associate degree.
- 04-06 years’ experience in Administrative Function of a medium sized facility.
- Should possess excellent English communication skills (written & verbal)
- Should have good computer skills: Microsoft Office (especially word, excel, power point etc.).
- Should have knowledge of: - (1) Office Management (2) Basic purchase procurement processes (pantry & Office supplies) (3) Reception Management.
- Must be a team player with good interpersonal skills and ability to work in a diverse multicultural environment.
- Should possess: - (1) Good organizational and planning skills, (2) Analytical and problem-solving skills, (3) Good and quick decision-making capability.
- Should be: (1) Proactive (2) Self-motivated (3) Flexible (4) Adaptive (5) Professional (6) Able to multitask, (7) Accessible on phone for any emergent requirement at the location and (8) Available for work outside of regular business hours if needed.

Salary: $55,000.00 - $70,000.00 per hour
