We are currently hiring a Programs Coordinator that supports the Studio Manager in all aspects of Dakota Glass Studio, developing and running programs for youth and public, as well as participating in the business side of inventory and sales. Much of this position requires constant collaboration with other departments and businesses because Dakota Glass Works is still in the developmental stage. Vision and diligence are required. The optimal candidate will be both a creative and critical thinker.

Dakota Glass Works is a state-of-the-art glassblowing studio located in the heart of Wardensville, West Virginia. The facility offers community-based teaching and skills development to promote and preserve the ancient art form of glassblowing and expose its transferable life skills to local Appalachian youth and the community. In addition to teaching those new to the craft, our hope is that Dakota Glass Works will become an artistic hub, hosting artists from around the world to foster creativity, growth and new ideas.

This position reports to the Managing Director with daily interaction with the Studio Manager.

RESPONSIBILITIES

Administrative Tasks

  • Attend organizational meetings including recurring, planning, and program oriented;
  • Internal policy and standard operating procedures (SOP) development and updating including, but not limited to: Internal information management including purchase record keeping, monthly inventory input, monthly dashboard reporting, Google Drive management;
  • Calendar and staff scheduling management;
  • Product and supplies inventory management including ordering; record keeping, transferring, invoicing, and organization;
  • Assist with FWW HR/Operations documentation and record keeping;
  • Light cleaning and maintenance of office, gallery, and guest areas.

Class/Event Management

  • Work with Studio Manager to develop and implement classes, events, and programs;
  • Organize and communicate pertinent information to Marketing and FWW teams;
  • Manage sign ups, enrollment, waivers, confirmation emails, safety training, and payments;
  • Manage event set up, hosting, tabling, information distribution;
  • Manage product sales including inventory, pricing, point-of-sale, and packaging;
  • Support hospitality for visitors and guests;
  • Conduct follow up surveys with guests.

Outreach/Marketing/PR

  • Work closely with Marketing department to support email, promotion, social media, and content creation;
  • Communicate with partners, community members, nonprofits, and support groups to build relationships and share information about Dakota programming.

Visiting Artist Program Development and Implementation

  • Working closely with Studio Manager and Managing Director, assist with development and implementation of a Visiting Artist Program;
  • Manage applications, communications, policy, curriculum, coordination, housing, and legal for each visiting artist;
  • Ensure artists are appropriately set up for successful visits with materials, accommodation, and other resources;
  • Assist with marketing and promotion;
  • Support gallery/exhibit needs from concept to conclusion;
  • Conduct reporting and surveys.

Other duties as assigned.

KEY QUALIFICATIONS

  • Must be 18 years old
  • A valid driver’s license is required to fulfill job duties
  • Strong organizational skills
  • Ability to remain productive when pulled in many different directions
  • Willing to learn terminology and technique of glass blowing and the hot shop so that you have the confidence to be in the shop and speak to the process for public events, guests etc.
  • Effectively communicate, both written and verbal, with all other departments to coordinate efforts when required, which is often.
  • Work on the weekends
  • First Aid certification (FWW sets this up)

EXPECTED WORK SCHEDULE

This part-time position can lead to a full-time role depending on the workload of our ever growing glass blowing studio. The Program Coordinator is expected to work approximately 30 hours a week with the standard hours being 10a-4p, Wednesday through Sunday. This position requires flexible availability on occasion for events/programs, weekends, evenings and holidays. During the summer, the Program Coordinator may be asked to adjust their schedule to maintain strong communication with the Shop Manager throughout the week due to the extreme heat inside the studio. In regards to special events or Visiting Artists, the Program Coordinator may need to accommodate their schedule to help set up the studio and gallery for presentation.

COMPENSATION

This position is classified as non-exempt with the starting wage of $18/hr. In addition to competitive pay, we offer the following benefits for regular, part-time employees (working below 38 hours weekly):
