We are currently seeking to fill our Clinical Education Coordinator position at the Philadelphia campus with a highly qualified and passionate individual.

POSITION SUMMARY
The Office of Clinical Education is seeking to hire a qualified individual as their Clinical Education Coordinator. Under minimal supervision, this position will report directly to the Program Manager of Clinical Education, provide high level administrative and operational support to the DO Student Body, the Program Manager, the Office of Clinical Education and all related partners.
This team member is directly responsible for all student elective registrations, serves as the first point of contact for all students, faculty, affiliate partners and outside members of the PCOM community and is responsible coordinating the administrative and operational day-to-day workflow with an emphasis on registration coordination, elective rotation applications and approvals, and support to management. The Clinical Education Coordinator liaises with and maintains strong, effective communication across all internal and external networks. He/she performs a variety of highly responsible, confidential and complex administrative and operational duties for the Office of Clinical Education with an emphasis on leadership and development.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Elective Registration
  • Manages the student registration process for elective and selective rotations.
  • Ensure accurate scheduling and input of data into the Banner and E-Value Scheduling System across all networks for 550+ students throughout the year.
  • Create new sections and registrations in Banner.
  • Trouble shoot registration issues, with the ability to resolve in a quick and efficient manner.
  • Advise and assist students with managing their schedule to accommodate off cycle rotations.
  • Work with the Office of the Registrar to expedite and resolve registration issues.
Provides monthly notification to affiliate partners of confirmed Elective student rosters for 250+ healthcare networks across the country.
Manage Research and International Rotations
Independently review and revamp elective scheduling procedures as needed.
Responsible for the management and supervision of all external platforms used by students and partners to secure outside rotations.
Complete all elective/rotation applications, forms and documentation as needed and instructed and requested by students and partner sites.
Work with Clinical Education Credentialing Coordinator and the Office of Student and Resident Medical Records to ensure accurate record reporting and authorization of signature release.
Manage PCOM Non-GME Elective Opportunities
  • Manage Visiting Student Elective Application Process
  • Manage student elective application process for both PCOM and visiting students applying for elective rotations with PCOM Clinical sites that do not have residency programs.
  • In collaboration with partners and program supervisors, update online information and align resources with current clinical and business needs.
  • Function as a consolidated liaison to receive all student applications for NON GME PCOM Clinical Elective rotations, for all outside students and PCOM PA/GA, and liaise with appropriate coordinator at the requested site and/or hospitals to confirm availability and the rotation with the site and then provide final confirmation to the student.
  • Manage administrative requirements across all NON GME PCOM Clinical rotation sites.
Other Responsibilities
  • Fields initial student requests and concerns with the ability to move issues of high priority to upper management or to resolution and conclusion as appropriate.
  • Develops and assists with implementation of quality improvement initiatives to streamline and enhance day-to-day administrative and operational efforts across multiple platforms.
  • Provides assistance in the day-to-day administration of the Office of Clinical Education and partners.
  • Answers telephones, routes callers, takes messages and provides routine information to callers.
  • Continually enhances professional growth and development through participation in educational programs, current literature, in service meetings and workshops
  • Attends meetings as required.
  • Performs other related duties as assigned or requested
POSITION REQUIREMENTS
Hours
Position hours 9:00-5:00, Monday through Friday with altered hours required on occasion for special functions.
Education
Bachelor’s degree required. Advanced degree preferred.
Experience
A minimum of three years’ experience as an administrative assistant in a fast-paced office with preference given to college or university environment. Excellent organizational and administrative abilities, communication and interpersonal skills. Proficiency in Microsoft and Google suit of products is required. Experience using Banner, E-Value and Blackboard preferred.
Salary Range: $50,000 - $55,000
