    THIS POSITION IS FOR 7.5 HOURS PER DAY AT 210 DAYS PER YEAR.

    PAY FOR POSITION: PSE Salary Schedule Level 7 - $25.47

    THIS POSITION IS AT THE BETHEL FAMILY CENTER LOCATED ON THE CHALLENGER SECONDARY SCHOOL CAMPUS.

    GENERAL SUMMARY:
    This position's responsibilities are to provide a variety of specialized support to the Bethel Family Center, Tacoma Pierce County Health Department, and the Bethel School District. Serve as a receptionist for the Bethel Family Center and Family Based Services. Assure that all information is passed on to appropriate Family Service Center staff and partners in a timely manner. This position will provide a variety of other backup and peak load assistance and coordination at the Bethel Family Center. This position is also responsible for representing the Bethel School District with truancy matters and the BECCA petition process.

    ESSENTIAL FUNCTIONS:
    • Serves as receptionist for the Bethel Family Center; operates a multi-line telephone console to receive incoming calls and messages; greets students, parents, staff and the public; answers and refers telephone and in-person inquiries; directs patrons to destinations, takes messages.
    • Ensures that the environment at the Family Center is friendly, inviting, and welcoming.
    • Develop knowledge of local community resources. Provide accurate and timely information regarding resources and Bethel Family Center activities to clients; which may include individual assistance as needed.
    • Provides a variety of information in regards to meetings, schedules, and procedures to students, staff and the public; assists with schedules for all Bethel Family Center meeting rooms. Responsible for maintaining Bethel Family Center meeting rooms and building calendars.
    • Maintains current Bethel Family Center forms.
    • Assists with Bethel Family Center programming and events.
    • Collect and maintain a list of all center staff and partners cell phone numbers and emergency numbers.
    • Maintains center office equipment, requests and maintains office supplies, resource materials, and signs for goods/services.
    • Assists Bethel Family Center staff with various clerical tasks such as sorting & distributing, data input, scheduling, copying, faxing, filing, collating, stapling, and mailings; separates and mails leave forms to employees and supervisors to appropriate buildings.
    • Develops databases and maintains a variety of program records; tracks records for completion; maintains record accuracy; inputs data into computer; produces reports as requested.
    • Ensures resources, referrals, events and other relevant data is tracked and collectorate for performance evaluation purposes.
    • Attends and participates in Bethel Family Center meetings. Assists in coordinating center staff meetings and maintaining meeting attendance and minutes.
    • Support Center resource development and volunteer recruitment.
    • Acts as the District Becca clerk including representing the District with truancy matters. Maintains and manages the Bethel School District BECCA database and court petitions. Coordinates details and schedules for community Truancy Boards.
    • Promotes positive public relations for the Bethel School District and Bethel Family Center.
    • Exhibits confidentiality, initiative, creativity and enthusiasm in performing job functions.
    • Maintains security by following procedures. Monitors guests and visitors.
    • Models appropriate and cooperative behavior, including protecting confidential information, consistent with the Bethel School District and Tacoma Pierce County Health Department ethical and operational guidelines.
    • Works collaboratively in a multi-agency, multi-disciplinary team in a manner which promotes mutual respect, open communication, and joint problem solving, and which values and builds the unique strengths of all team members.
    • Performs related duties consistent with the scope and intent of the position.
    REPORTING RELATIONSHIPS:
    Reports to the Director of Community Connections; will receive direction from the Bethel Family Center Coordinator and/or multiple program personnel.

    MENTAL DEMANDS
    Experiences frequent interruptions; may occasionally deal with distraught or difficult individuals; required to perform repetitive data entry tasks; periodically required to meet state reporting deadlines.

    PHYSICAL DEMANDS
    Exposed to visual display terminal for prolonged periods; required to sit for prolonged periods.

    MINIMUM QUALIFICATIONS
    Education and Experience
    Education, training, skills, and experience necessary to carry out the assignment, including one (1) year of training in clerical procedures, involving maintaining detailed records and customer service.
    Allowable Substitutions
    Alternatives to the above qualifications that the district may find appropriate and acceptable.
    Required Knowledge, Skills and Abilities
    Ability to communicate effectively, both orally and in writing. Knowledge of Washington State Attendance Laws and the BECCA petition process. Knowledge of community resources within the area served by the center. Effective customer service and public relations. Knowledge of office procedures. Knowledge of data interpretation. Ability to maintain spreadsheets. High-level keyboarding and data entry skills. Skill in operating a variety of office machines. Ability to operate a computer and learn the operation of specific software programs, including database and spreadsheet applications. Skill in problem solving. Skill in organizing with demonstrated ability to prioritize tasks. Skill in correct grammar, spelling and English usage. Ability to perform arithmetic calculations. Ability to compose and format correspondence, reports, graphs, and charts. Ability to set up and maintain accurate files and records. Ability to organize and set priorities for work. Ability to maintain confidentiality. Ability to establish and maintain effective working relationships with a diverse group of people.
    Licenses/Special Requirements
    Requires fingerprinting and background check to determine that there have been no convictions involving physical molestation, abuse, injury or neglect of a minor. Must complete training in and adhere to the district infection control plan. Some positions may require a valid Washington state driver's license to travel between school sites and a good driving record.
