POSITION TITLE: Benefits Administrator
REPORTS TO: Benefits Supervisor
POSITION SUMMARY:
Daily administrative task completion, high level customer service, filing, billing and support of Associate benefit offerings; including, but not limited to: medical, dental, vision, ancillary benefit programs/offerings, leaves of absence, disability claims and defined contribution programs. Work collaboratively with AEO Associates and HR business partners through problem resolution and sharing knowledge of company benefit programs, policies and administrative procedures.
RESPONSIBILITIES:
- Administer AEO medical, dental, vision, dependent care FSA, medical FSA and Limited Purpose FSA, health savings account, COBRA, unemployment, gym reimbursements and tuition reimbursements.
- Serve as a liaison between AEO and Associates with various benefit vendors on enrollment and claims advocacy.
- Submit cases and work closely with Benefitfocus to ensure cases are resolved in a timely fashion; escalate as necessary.
- Oversee and manage the benefit platform task list, make necessary approval and denials on life events and other enrollment related tasks.
- Consistent and timely management of the benefits Inbox
- Address and escalate associate appeals, answer enrollment questions and assist associates to properly enroll.
- Instruct Associates on the benefit enrollment system registration and enrollment process.
- Stay logged into the call center, answering calls throughout the day and returning any missed calls within 24 hours.
- Opening, sorting and taking action on benefit department mail.
- Prepare, review, track and submit all weekly and monthly vendor billing as assigned. Maintain a comprehensive understanding of the billing process and ensure that all self-reported figures are accurate.
- Work with unemployment vendor on managing corporate unemployment claims and serve as backup for Store Unemployment claims.
- Complete Benefit Exit Interview documentation as assigned, assist separated Associates and work closely with HR business partners to ensure a smooth
exit process. - Assist with coordinating blood drives, flu shot events, lunch & learns, webinars and benefit fairs as assigned.
- Assist with annual Open Enrollment project plan and execution.
- Facilitate the benefits segment of the new hire orientation.
- Assist with Affordable Care Act governance, assisting with Form 1095 Cs and items related to federal compliance obligations.
- Stay current on all related laws and regulations, as well as trends and opportunities. Attend educational webinars and conferences as needed.
- Fill out benefit benchmarking surveys and questionnaires as assigned.
- Assist with Paid Time Off (PTO) administration and repayments.
- Learn and apply legal standards throughout the country related to Benefits administration; including, but not limited to: ERISA, Section 125, HIPAA, PPACA, COBRA, ADA, FMLA, and legislation related to the COVID-19 pandemic (i.e. CARES Act, ARPA, etc...)
- Additional duties and projects as assigned.
QUALIFICATIONS:
- Bachelor's degree in human resources, Labor Relations, Business Administration or equivalent experience required.
- 1-2 years employee benefits experience and/or customer service experience preferred, with emphasis on multiple locations.
- High degree of proficiency MS Office Suite, Outlook & Internet applications
- Strong prioritizing, interpersonal, problem-solving, presentation, & planning skills
- Strong verbal and written communication skills
- Demonstrated collaborative skills and ability to work well within a team & ability to work independently when applicable.
- Ability to work with and influence peers and senior management.
- Ability to work in a fast-paced and deadline-oriented environment.
- Self-motivated with critical attention to detail, deadlines and reporting
- Knowledge of Benefitfocus, Equifax (ACAMS), Kronos, ADP and/or Oracle HRIS system(s) is a plus.

- Actual starting pay is determined by various factors, including but not limited to relevant experience and location
