Administrative Assistant– Job Description

Position Summary:

Assurance of Hope Inc, is seeking a Administrative Assistant. This position helps to ensure that all administrative, ongoing agency support needs and programming are in alignment with senior level management and the mission, vision and values of Assurance of Hope. We are looking for a master multi-tasker with excellent communication skills and an upbeat attitude.

The Opportunity

Ideal Candidate should be able to assist management and all visitors to the agency by handling office tasks, providing polite and professional assistance via phone and e-mail, being a helpful and positive presence in the workplace. They should always be prepared and responsive, willing to meet each challenge directly, must be comfortable with computers, general office tasks, and excel at both verbal and written communication.

Responsibilities

· Providing real-time scheduling support by booking appointments and preventing conflicts.

· Screening phone calls and routing callers to the appropriate party.

· Generate reports, transcribe minutes from meetings, create presentations, maintain records and files management.

· Greet and assist visitors.

· Maintain polite and professional communication via phone, e-mail, and mail.

· Anticipate the needs of others in order to ensure their seamless and positive experience.

· Oversee the quality assurance aspects of the agency when required.

. Conduct pre-certification and authorizations from Insurance Carriers.

. Ability to communicate effectively with management, patients, physicians and office staff.

. Excellent verbal and written communication skills.

Position Qualifications

  • Associate’s Degree/Bachelor’s Degree (Social Work/Psychology/Behavioral Health/Administration) in a related field.
  • Prior administrative experience required
  • Able to work with minimal supervision
  • Good verbal and written communications
  • Emphatic with excellent interpersonal skills
  • Proficiency in other languages, Creole & Spanish (preferred, but not required)
  • Ability to condense information from multiple sources and communicate it
  • Well organized and able to multi-task
  • Proficient in computer data entry and basic software, i.e. Microsoft Office Suite
  • Detail oriented
  • Able to thrive in situations of ambiguity and with high volume deadlines
  • Strong analytical and critical thinking skills
  • Flexibility to work occasional late evenings, holidays and weekends, if needed

Expectations

Selected candidate will be expected to:

  • Sign a confidentiality agreement
  • Pass a level 2 FDLE background check
  • Follow all agency’s policies, procedures & guidelines
  • Full Time: 30 to 40 hours a week
  • Pay commensurate with experience

Job Type: Full-time

Pay: $14.00 - $17.00 per hour
