The Shoreline Center is hiring a PART-TIME ADMINISTRATIVE SPECIALIST.

The Shoreline Center is a pediatric practice located in beautiful Grand Haven! We specialize in ABA, OT, and Speech and Language therapies. We are looking for a pleasant administrative specialist to undertake all administrative clerical duties in our front office. You will be the 'face' of the company, the successful candidate will be approachable and friendly, with outstanding people skills.   • Greet and welcome guests and provide them with high quality service.
  • Ensure the front desk is neat, presentable, and equipped with all the necessary supplies as pens, forms, and anything else that is required.
  • Answer all client questions and incoming calls.
  • Address client complaints.
  • Redirect phone calls to the appropriate department and take messages if necessary.
  • Accept all mail and packages and distribute them to their appropriate departments.
  • Prepare outgoing mail.
  • Monitor, organize and forward emails.
  • Maintain records and files.
  • Take up other duties as assigned.
  • Manage calendars of the Clinical team, managing the daily client schedule.

Qualifications

  • Have a High School diploma or equivalent.
  • Have excellent written and verbal communication skills.
  • A positive and professional attitude.
  • Ability to multitask in a fast-paced office environment.
  • Be available for 2-3 evenings per week.
  • Comply with all Center policies and procedures.
  • Be qualified to work in the United States.
  • Pass a background check.
  • Trained in compliance with HIPAA
  • Proven experience as an administrative specialist or front desk representative, agent or relevant position.
  • Familiarity with office (e.g., Fax, printer etc.).
  • Excellent knowledge of Google Apps (especially google drive, google docs, and google sheets).
  • Strong communication and people skills.
  • Good organizational and multitasking abilities.
  • Problem-solving skills.
  • Customer service orientation.

Job Type: Part-time
