The Administrative Officer will be a member of the Service Core Team at the Nora Eccles Harrison Cardiovascular Research and Training Institute (CVRTI) at the University of Utah Health Sciences Campus. The CVRTI integrates professors and trainees across academic departments to nucleate a campus wide cell-to-bedside approach in cardiovascular education and research and includes 16 investigator faculty members with independent laboratories.
This position assists Principal Investigators (PI) by performing administrative and technical functions associated with grants and contracts (pre- and post- award) from external funding sources with basic oversight. The administrative officer also serves as a liaison to the Office of Sponsored Projects (OSP), Institutional Review Board (IRB), Institutional Animal Care and Use Committee (IACUC), the Office of the Vice President and Research, and other campus entities as necessary.
The successful candidate will have strong written and verbal communication, administrative, and time management skills and have the ability to manage multiple priorities and projects. The successful candidate will be a detail-oriented self-starter with a strong orientation towards customer service, will possess superior organizational skills, will display the ability to meet deadlines while working independently. Knowledge of Excel is a must.

Responsibilities
  • With basic oversight from a supervisor, handles the administrative matters relating to the maintenance of PI’s external funding including award set-up, modification, and post-award maintenance for the department’s most common sponsors.
  • Prepares financial reports.
  • Provides basic support for activity tracking administrative tasks.
  • Monitors budgets and expenditures to ensure limitations are not exceeded.
  • Makes budgetary recommendations and adjustments.
  • Projects cost estimates and writing assigned portions of grant proposals.
  • Coordinates details such as purchasing activities, personnel actions, document control, account coding for financial transactions and overseeing the maintenance of departmental records.
  • Reviews changes in university policy, federal regulations and contractual requirements and coordinates implementation procedures.
  • May develop departmental procedures as needed.
  • Interface effectively with internal and external professionals.
  • Serves as a liaison between the P.I. or his/her support staff and other University departments throughout the period of the grant or contract.

Minimum Qualifications

Bachelor’s degree in Business, Finance, or a related field, or equivalency (2 years related work experience may be substituted for 1 year of education). Three years experience that includes specific involvement in maintaining complex financial records, developing and monitoring departmental budgets and preparing related reports; and demonstrated organizational, human relation and effective communication skills.
