AGENCY OVERVIEW
CPCS is the state agency in Massachusetts responsible for providing an attorney when the state or federal constitution or a state statute requires the appointment of an attorney for a person who cannot afford to retain one. The agency provides representation in criminal, delinquency, youthful offender, child welfare, guardianship, mental health, sexually dangerous person, and sex offender registry cases, as well as in appeals and post-conviction and post-judgment proceedings related to those matters.
The clients we represent are diverse across every context imaginable and bring many unique cultural dimensions to the matters we address. This reality creates a critical need for CPCS staff to be culturally competent and able to work well with people of different races, ethnicities, genders and/or sexual orientation identities, abilities, and limited English proficiency, among other protected characteristics.
DIVISION OVERVIEW
The Youth Advocacy Division (YAD), the juvenile defender department of CPCS, is committed to ensuring that every indigent child in Massachusetts has access to zealous legal representation in delinquency and youthful offender cases. YAD provides leadership, training, support, and oversight to a diverse community of juvenile defenders consisting of both private appointed counsel and staff public defenders. As youth in Massachusetts have a right to jury trials, this trial office integrates the work of attorneys, social service advocates, and an administrative assistant to fully address the legal and developmental needs of our clients.
OFFICE OVERVIEW
Fall River is a city in Bristol County, Massachusetts and has a population of close to 100,000. Located along the eastern shore on Mount Hope Bay at the mouth of the Taunton River, the city gained recognition during the 19th century as a leading textile manufacturing center in the United States. While the textile industry has long since moved on, its impact on the city's culture and landscape is still prominent.
POSITION OVERVIEW
The YAD Fall River Office of CPCS is seeking to fill an Administrative Assistant III position to work with attorneys and social workers who provide legal representation and advocacy to indigent children in delinquency, youthful offender, and child welfare cases. The YAD Fall River is co-located with the Fall River Child and Family Law Office (CAFL) and the AA III will be expected to collaborate with the CAFL staff regarding crossover representation of clients.
This is a full-time (35 hours/week) position reporting to the Attorney in Charge.
RESPONSIBILITIES
- Supporting the Attorney in Charge on day-to-day duties of running the office as well as special projects and coordinating communication, support, and resources with HR, Facilities, and IT;
- Opening and closing case files, maintaining open case files, and filing, scanning and shredding of closed cases;
- Providing administrative support, including word and data processing, filing, copying, scanning, and handling correspondence;
- Coordinating and assisting with projects relating to personnel management, program evaluation, and other areas;
- Creating statistical reports regarding attorney caseloads and disposition of cases and maintaining data collected;
- Planning, coordinating, and calendaring meetings and events;
- Assisting with other projects to improve the quality of legal representation and to enhance client services;
- Ensuring that office systems and agency procedures and practices are administered effectively; communicating effectively with internal and external contacts at all levels;
- Managing the front desk including all receptionist responsibilities as needed; and,
- Other duties as assigned
Qualifications
MINIMUM ENTRANCE REQUIREMENTS
The ideal candidate will be a person who is both highly organized and detail-oriented and enjoys interacting with people in a friendly work environment and will take satisfaction from working in an agency which is committed to protecting the fundamental legal rights of indigent persons.
The successful applicant must have:
- Associate’s degree in related area and at least two years of experience as an administrative assistant or office manager; executive level secretarial skills; or an equivalent combination of education, training, experience, and skills are required; and,
- Access to a personal computer with home internet access sufficient to work remotely.
QUALIFICATIONS/SKILLS
Candidates should possess:
- Proficiency in MS Office Suite (Word, Excel, Outlook, PowerPoint);
- Excellent communication skills, both oral and written;
- Strong organizational abilities;
- Ability to maintain confidentiality and to exercise considerable judgment and discretion;
- Previous administrative assistant, office manager, or similar experience and knowledge of general office procedures (e.g., correspondence, scheduling, filing);
- Ability to handle multiple tasks, prioritize effectively, meet deadlines, and deliver high quality work;
- Proficiency and experience with scanning, optical character recognition processing (experience working with and entering text into spreadsheets is preferred);
- Ability to establish effective working relationships and to work as part of a team;
- Good problem-solving skills;
- Project management experience is preferred;
- Previous experience in a legal setting is preferred; and,
- Bilingual Skills preferred.
