Administrative Assistant II
Job description
The University of Maryland, Baltimore Office of Administration and Finance is seeking an Administrative Assistant II for the Department of Business Applications.
This position reports to the Co-Project Directors for the implementation of a cloud-based Human Resources System and will provide reliable and professional administrative support to the project team. The incumbent must demonstrate willingness, availability and flexibility to staff and support a project team with multiple team leads. The individual will manage calendars for the Co-Project Directors, coordinate meeting logistics, order supplies and materials, prepare documents, arrange meeting room reservations, compile work documents and provide overall office support.
Essential Functions
- Provide staffing support to assist the project directors, Project Management Office and team leads in executing the day-to-day obligations of a dynamic IT project team.
- Work in coordination with the project directors and team leads to manage project priorities. This includes prioritizing and arranging meetings and appointments.
- Assist with organizing presentations utilizing various software/technologies, such as PowerPoint. Prepares a variety of memos and other correspondence.
- Manage various calendars using Outlook to assure efficiency and accuracy. Ensure calendars are handled with a necessary sense of urgency, and use judgment to delegate meetings that do not require a project director’s attention.
- Oversee special projects and perform other administrative duties having a significant impact on the overall goals of the project.
- Serve as a resource and the principal point of contact for the project team.
- Receive and coordinate responses to queries, questions, concerns, and requests.
- Perform other duties and responsibilities as assigned by the Co-Project Directors.
Education: High School Diploma or GED.
Experience: Three (3) years of experience providing administrative support.
Other: Except for qualifications established by law, additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.
Required Knowledge/Skills/Abilities
General knowledge of and skill in the practical application of generally accepted office practices and procedures. Ability to communicate effective both orally and in writing. Ability to proofread and edit written documents. Skill in various computer software packages, such as word processing, spreadsheets, SharePoint, JIRA issue management, database and presentation programs, internet, email and calendaring software. Ability to understand and follow oral and written instructions. Ability to interact effectively with internal and external parties in a courteous and efficient manner. Ability to plan, organize, prioritize, and execute multiple and continuing assignments with general instructions.
Hiring Range: $46,500-$51,500
