CQS is currently seeking a full-time Administrative Assistant to join our team. This position will have a 90-day introductory period with the option of extension based on performance.
Responsibilities and duties include but are not limited to the following:
- Provide administrative support in the departments of administration, operations, office management, and accounting
- Provide administrative support to the management and executive team as needed
- Data entry of purchase orders & subcontract agreements
- Maintain the organization of web-based project management software
- Organize and maintain computer-based filing
- Organize invoices, timesheets, expense reports, monthly bills, and other financial documents
- Collaborate with the accounting team on financial administrative tasks
- Work on multiple projects simultaneously (such as responding to emails, filling out forms, creating documents and PDFs, pulling and compiling data and reports, entering data online to our project management software, etc.)
- Responsible for ordering/maintaining office resources such as supplies, refreshments, mail & deliveries
- Ordering project materials as needed
- Filing of project related emails and associated attachments such as submittals, RFI’s, and schedules for active projects as directed
- Handle all confidential information in a professional and discrete manner
- Plan and coordinate quarterly employee outings, teambuilding events, and parties
- Other administrative duties as assigned by the Director of Business Operations
Job Qualifications:
- Mandatory minimum of 2+ years of working in an administrative role
- Strong desire to learn and grow your skills
- Excellent communication skills, both verbally and written
- Excellent follow-up skills: this position requires fine-tuned follow-up skills and someone with established procedures for follow up and support management’s ongoing priorities and initiatives
- Strong ability to multi-task
- Proficient knowledge of Microsoft Office Suite applications
- Self-starter, ability to work with autonomy in a team environment
- Ability to prioritize and proactively anticipate/solve critical issues
- Ability to exercise discretion and confidentiality
- Experience or Interest in the construction and engineering industry is a plus
40 Hours per week. Must be available to work weekdays during office hours (8am-4:30pm).
This position is in-person at our Greenbelt office.
This role is not available for remote work.
Pay range: $22-26 per hour or $45,000-$55,000 per year based on experience
