Posting Summary
Rutgers, The State University of New Jersey, is seeking an Administrative Assistant for the School of Arts & Sciences (SAS) – Mathematics department. This position will guide general operations, delegate workload and will support the Director.

Among the key duties of this position are the following:
  • Directs publication traffic. Direct and assist in coordinating semi-annual conferences and weekly seminars.
  • Works with Math Department IT staff to ensure updates of Center and Department website.
  • Coordinates with Math Department staff, prepare NSF and AFOSR grant proposals and technical and final grant reports as well as other correspondence.

Work Arrangement
Consistent with the current application of Rutgers Policy 60.3.22, this position may be eligible for a hybrid work arrangement. The flexible work arrangements outlined in Rutgers Policy 60.3.22 are part of a pilot program that is effective September 1, 2022 through August 31, 2023. Therefore, there is no guarantee that this flexible work arrangement will continue beyond that date. Flexible work arrangements are not permanent, are subject to change or cancellation and contingent on the employee receiving approval in the FlexWork@RU Application System. Minimum Education and Experience
  • Bachelors degree or equivalent combination of education and experience.

Certifications/Licenses

Required Knowledge, Skills, and Abilities
  • Demonstrates knowledge and understanding of office administration, organization, coordination, facilitation and proficiency with computers and other online systems.
  • Experience in events planning and coordination.
  • Ability to coordinate projects with regular, temporary and extended, (e.g., Math Department and University) staff.
  • Exceptional written and verbal communication skills required.

Preferred Qualifications

Equipment Utilized
  • Should have strong personal computer end-user skills in word processing and spreadsheet applications as well as strong Internet search skills.

Physical Demands and Work Environment
  • Will need to manage multiple deadline dates simultaneously and unexpected requests.
  • Must be able to handle interruptions and quickly re-establish focus.
  • This individual works on broadly defined objectives with minimal oversight.

Under Policy 60.1.35 Immunization Policy for Rutgers Employees and Prospective Employees, Rutgers University requires all prospective employees to provide proof that they are fully vaccinated and have received a booster (where eligible) against COVID-19 prior to commencement of employment, unless the University has granted the individual a medical or religious exemption.
