Job description
The role of the Administrative Assistant for Operations (AAO) is to support the work of College First Church of God (CF), the Lead Pastor, and the staff through administrative work related to operations. This will require a firm grasp of the beliefs, values, and strategy of CF and the ability to align a variety of operational tasks with its mission, vision, and values. The AAO will oversee the majority of the church's central operational efforts.
The Administrative Assistant for Operations will be responsible for the following, as well as all other duties as assigned:
Office and Facility Administration: Responsible for regular purchases and managing the use of the church facility and property:
· Make regular office and ministry purchases, including office supplies, paper, CF-branded items, altar flowers, and kitchen supplies.
· Ensure the proper operation of office equipment, through tech and service companies, including copier, computers, telephone, voicemail, internet, folding machine, and shredder.
· Manage the utilization of the church facility, by internal and external sources, through Planning Center event calendar and facility request form.
· Manage the utilization of church property, such as tables, chairs, roasters, etc., by internal and external sources, through Planning Center event calendar and church property request form.
· Manage and process wedding venue requests, following CF Wedding Policy.
Records, Documentation, Database, and Correspondence: Responsible for central record and documentation keeping for the church:
· Input giving information into Planning Center.
· Update People database in Planning Center for contact information, engagement, membership, baptisms, and dedications.
· Maintain official list of leaders and years of service.
· Receive and send official correspondence related to giving, membership, and certificates of spiritual events.
· Organize and manage documentation storage for the church, both physical and digital, including files related to finances, ministry, council, property, etc.
Lead Pastor Support: Assists the Lead Pastor with a variety of administrative responsibilities, including:
· Scheduling of meetings and care visits.
· Producing and copying materials for teaching, meetings, etc.
· Creating and organizing policies, records, and official documents.
Main Office Reception: Responsible for reception tasks while in the office, including:
· Answering the phone and checking voicemail.
· Responding to general inquiries to the church via phone and email.
· Greeting visitors to the building and assisting them with their needs.
· Receiving packages and mail, then distributing them to their appropriate mailboxes.
Additional Coverage: Willing to cover the Administrative Assistant for Communications (AAC) office hours and primary tasks when he/she is on vacation or during emergencies. The AAC shall be willing to reciprocate coverage.
Job Type: Part-time
Pay: $16.50 per hour
