Summary

Assist the Vice President and Trust Real Estate Manager in the administration of daily tasks for all real-estate and mineral assets held in trust. Work cohesively with other department staff in daily property management for residential, agricultural, and commercial property. Flexibility, accuracy, and attention to detail are key to success in this position. Demonstrate ownership and accountability for data integrity in multiple databases.

Essential Duties and Responsibilities:

  • Primary daily responsibilities: Payment of property bills including but not limited to utilities, homeowner’s associations, insurance, legal expense, property maintenance, property tax and regular service contractors. Process checks for rent, crop, and mineral income payments. Update payment tracking software. Strong communication and interpersonal skills needed. Employee must be at ease communicating with service providers, contractors, county real estate tax and assessment offices.
  • Administrative processing of incoming appraisals, new leases, and insurance policy renewals.
  • Assist in on-boarding new properties: Communicate with department account manager’s regarding the needs of the beneficiaries. Prepare and submit asset set up form. Set up paper files and update multiple databases with new property information. Contact vendors to add services and/or revise bank billing information. Set up or revise insurance coverage. Obtain flood zone certifications.
  • Assist in off-boarding sold properties: Review and analyze property settlement statements to process sale proceeds appropriately. Retain and organize paper and electronic copies of all closing documents. Cancel all contract services, and insurance. Track final bill payment and refunds due to the account.
  • Assist in transfer of properties between accounts: Submit asset transfer requests to accounting. Revise account numbers on all paper files, electronic files, and insurance policies.
  • Assist in monthly account review preparation and miscellaneous research projects.

  • Serve as an internal liaison with Trust Department account managers, accounting, and other bank departments.
  • Requires extreme attention to detail while reviewing, updating, and filing documentation.
  • Ability to complete assigned tasks with limited oversight and supervision
  • Excellent written and oral communication skills
  • Strong skills on computer applications for word processing, spreadsheets, and databases/systems
  • Ensure adherence to policies and procedures

Qualifications:

  • College degree or equivalent experience in general business, lending, real estate, title, or property management
  • Five to ten years’ work experience
  • Experience in Trust or Investment Management desirable, but not required
