Job description
The Training Administrative Manager provides administrative support to the campus, faculty, and students at assigned location. This includes, but is not limited to, processing of required printed and/or electronic materials, distributing classroom Chromebooks, collection of all assessments and accurately assembling and maintaining the student academic records (paper and electronic), producing transcripts and certificates, and preparing reports as needed for student progress
Requirements:Duties and Responsibilities:
- Prepare and provide printed and/or electronic training materials including, but not limited to, quizzes, final exams, practical evaluations, retake exams, attendance sheets, rosters, and sign-in sheets as directed by the site Training Supervisor
- Prepare and distribute student day one folders and materials
- Collect or assist in the collection of enrollment and finance documents not previously submitted by the student
- Coordinate and prepare the class photo for certificate holders
- Prepare copies of class photos, class general rosters for the site Training Supervisor and instructors of each class
- Distribute and collect Chromebooks to students and obtain signed Chromebook agreements.
- Coordinate ordering and maintain an adequate amount of required textbooks (e.g., Rigging Handbook, etc), Cert Holders, Flash Drives, and necessary supplies for students
- Assist in collecting VA Certificate of Eligibility (COE) for Finance
- Compile student certificate holders
- Maintain all files in accordance with ARI Policies and Procedures
- File and maintain Industry Training records as assigned (Tehachapi only)
- Properly secure assigned files and equipment
- Maintain student status of enrollment, start/non-start, and graduate status in the electronic system
- Track student attendance records in the electronic system and student academic paper files and provide weekly attendance status to the site Training Supervisor
- Prepare student certificates and cards
- Prepare student flash drives with required documents
- Prepare and deliver student transcripts, official and non-official
- Distribute and collect Certificate/Transcript Mailing Form from the students before graduation
- Collect and maintain student questionnaire data in accordance with ARI Policy
- Conduct periodic file audits to ensure compliance with ARI Policy
- Adheres to FERPA guidelines regarding student confidential information
- Provide additional assistance and support as directed by site Training Supervisor
- Comply with all ARI Policies and Procedures

- Excellent computer skills including QuickBase and the Microsoft Office Suite

Education and Certification Requirements:
- Required: High School Diploma or equivalent
- Required: Legal ability to work in the United States
- Required: Ability to pass a pre-employment drug screen and motor vehicle record check
