TENANT SERVICES COORDINATOR

The Commercial Office Tenant Services Coordinator position is a key management office support team member. This dynamic position will help coordinate our interaction with our professional tenant customers in Downtown Dallas for a growing integrated real estate company focused on the U.S. real estate market. Pacific Elm Properties, LLC recently Woods Capital Property Management is a growing company based in Dallas Texas that currently manages several major commercial office buildings of note. This includes Santander Tower, 2100 Ross Avenue, One Dallas Center and Bryan Tower. We also own multiple development sites that are actively being pursued.

Job responsibilities include:

▪ Greet visitors in person and on the phone.
▪ Administration of all day-to-day aspects of the building maintenance work order system

(ANGUS).

➢ Respond to each request for tenant service. Input into ANGUS and follow-up on completion to assure tenant satisfaction.

➢ Maintain janitorial work orders.

▪ Security
➢ Daily Activity Reports – update and send out at the end of every day.

▪ Keep Pest Control book current at front desk.
▪ Pick up, process and distribute daily USPS mail
▪ Prepare Manager’s Meeting Minutes and Agendas.
▪ Manage phone system & troubleshoot as required.
▪ Tenant correspondence – have all reviewed and approved by management prior to distribution

➢ Holiday memos and office closings.

➢ Operational Information (i.e., water off, etc.).

▪ Maintain and stock inventory of office and kitchen supplies (keep copier stocked with paper at all times and order as needed and/or requested)

▪ Assist with Conference Room reservations/Set-up
▪ Update spreadsheets and keep current on the shared drive and send updates to office staff:

➢ Employee contact spreadsheets
➢ Tenant contact spreadsheets
➢ Vendor contact spreadsheets

▪ Maintain current certificates of insurance for vendors and tenants - update spreadsheet, keep current on the shared drive and send updates to office staff.

▪ Maintain all Lease, Contract, and Vendor files in office
▪ Construction:

➢ Make sure insurance is on file for all subcontractors.

➢ Sub-lists to be distributed to Security and engineering – scan to shared drive.

▪ Assist with special projects as needed and as assigned by property management.
▪ Prepare new files for Tenants when leases are fully executed
▪ Assemble budget binders

▪ Provide administrative support as needed

▪ Schedule and set up new fitness center members.

Ability to commute/relocate:

  • Dallas, TX 75201: Reliably commute or planning to relocate before starting work (Required)

Experience:

  • Customer service: 3 years (Preferred)
  • Commercial office real estate: 1 year (Preferred)

License/Certification:

  • Driver's License (Required)
