Job Summary:
Under the general direction of the Associate Vice President for Student Affairs/Dean of Students/Co-Chief Diversity, Equity, and Inclusion Officer in the office of the Vice President for Student Affairs (VPSA) at CSUSB and the Student Health Center Executive Director, the Student Information Coordinator will provide lead coordination in overseeing student information including safety alerts, health-related updates, information campaigns, and incoming student transitions information..
Major duties and responsibilities:
Under the direct supervision of the Executive Director of the Student Health Center, the incumbent will perform the following:
- Rapidly acquire working knowledge, including locating, selecting, and organizing information, of the CSU policy and related procedures for immunization self-certification and documentation, testing, and case management/advisement of positive student reports, impacting program operations and services.
- Drafts communicable disease messaging on behalf of the Student Health Center for email, website, and electronic health records system portal with updated information for review; assist in communicating immunization policies and eligibility at orientation programs and other relevant student events.
- Follows systemwide and campus procedures for conducting communicable disease student investigations and employs mitigation measures in partnership with Risk Management and other departments/programs and individuals.
- Assist in the development and administration of communicable disease related policies and procedures, including guidance, support and resources to students who test positive for communicable diseases and to those who are potentially exposed and are at-risk.
- Assist in researching and performing outreach to community partners regarding CSUSB’s response (for students) regarding immunization compliance.
- Maintains communicable disease case and exposure spreadsheets, updates templates, tracks, and reports cases; follows Centers for Disease Control and Prevention, California Department of Public Health, and local public health authorities for reporting of outbreaks and in compliance with other requirements.
- Analysis of individual student needs and situations, including immunization holds, and receipt of appropriate documents to determine eligibility, such as vaccination exemptions.
- Follows HIPAA regulations and AAAHC accreditation standards and relevant policies and executive orders (e.g., Interim COVID-19 Vaccination Policy, EO 803, EO 943)
- Collaborates with other departments (e.g., Office of the Registrar, ITS) to facilitate clearance of immunization requirements.
- Maintains the SHC website, including serving as the website content editor and marketing the programs and services; provides updated information for Academic Scheduling, the Office of the Registrar, and other offices regarding the SHC schedule and student SHC-related requirements and programs/services.

- Rapidly acquire organizational knowledge of CSUSB/Student Affairs and the impact to the total campus operation.
- Monitor requests to communicate with the student body via emails and phone calls.
- Answer a high volume of student inquiries and service calls arriving at units within the Division of Student Affairs and the Vice President’s Office for Student Affairs
- Gather and analyze data, troubleshoot student concerns, and provide recommendations and strategies, as needed.
- Interpret and apply CSU rules and regulations as it relates to Student Affairs.
- Collaborate and maintain cooperative working relationships with campus partners within the Division of Student Affairs and across the campus to ensure information is shared broadly to all students.
- Route calls to correct locations on campus.
- Work creatively to coordinate multiple projects while meeting deadlines, including the need to communicate effectively and diplomatically with diverse members of the campus community, including faculty, students, and staff.
- Coordinate, staff, and lead a student call center that provides direction to student assistants.
- Proactively draft and update phone scripts with updated information for students’ queries and will seek approval as appropriate.
- Continuous personal interactions with students, including in-person, virtual, and phone communications, to ascertain facts, secure cooperation and understanding, and provide information related to student matters, policies, and procedures.
- Communicate student requests, information, and status updates to the Vice President’s Office for Student Affairs
- Address student needs and situations, involving review of student background and pertinent documents to determine eligibility for various student affairs related services, as well as assisting students with appropriate courses of action.
- Create/present clear and concise reports to VPSA staff about the status of the receipt and impact of information.
- Collaborate with VPSA office staff and various division personnel to promote various student affairs’ marketing materials and create a centralized information management system for the campus community.
- Create a system to collect data on the number of calls received, types of concern, and responses provided.
- Serve as resource and partner with SCED, the repopulation committee, and Health Center
- Research other exemplar university for common practices in undergraduate communication strategies
- Provide recommendations, as appropriate, to the AVP for Student Affairs/Dean of Students and division leadership
- Work with the Division of Student Affairs Desktop Publishing/Graphic Specialist to develop marketing campaigns and communication strategies
- Pull reports or data that will be shared with division leadership and division partners
Minimum Qualifications: Required Education and Experience
- High School diploma or its equivalent
- Five years of progressively responsible experience in general office clerical or secretarial work or the equivalent.
Required Qualifications
- Comprehensive and detailed knowledge of the university infrastructure, policies, and procedures.
- Thorough mastery of English grammar, punctuation, and spelling.
- Expertise in using office software packages, technology, and systems.
- Ability to interpret and apply policies and procedures independently, and use judgment and discretion to act when precedents do not exist.
- Ability to troubleshoot most office administration problems and respond to all inquiries and requests related to work area.
- Ability to understand problems from a broader perspective and anticipate the impact of office administration problems and solutions on other areas.
- Ability to analyze operational and procedural problems and develop, recommend, and evaluate proposed solutions.
- Ability to perform business math, analyze budgetary data, and make accurate projections requiring some inference.
- Ability to effectively write and present own reports.
- Ability to effectively handle interpersonal interactions at all levels and handle highly sensitive interpersonal situations.
- Ability to use negotiation and persuasion skills to achieve results and expedite projects.
Preferred Qualifications
- The ability to keep calm in high stress situations.
- Familiarity with HIPAA and FERPA regulations, and other privacy laws.
- Prior working experience and knowledge of a university student health center and/or student affairs.
Compensation and Benefits:
Anticipated Hiring Range: $3681 - $4269 per month
Classification Salary Range: $3681 - $6,034 per month

Position Information:
Work status: Full-time/Non-exempt/Temporary (up to one year with the possibility of further renewal)
Schedule: Monday – Friday 8:00am – 5:00pm. Evening and weekends as needed.
