Position Summary:
Confidential advisor to the vice president for Student Life. Assist with and support divisional activities related to the implementation of strategic planning, divisional policies and procedures, initiatives, budget management, and continuous improvements to service. Manage the operation of the office of the vice president. Act as a liaison for the vice president with to the President’s Office, vice presidents and their staff, Student Life divisional leadership, university departments, and other external agencies. Work very closely with and supports the Director of Administration and Planning. This position works with all designated staff in the development and implementation of policies, organizational development plans, programs, and operations under the direction Vice President.
Supervision Received: Direct report to VP, Student Life
Supervision Exercised: Administrative Assistant II, and student employees

Essential Duties:
- Manage the operations of the office of the vice president; coordinates the schedule of the Vice President for Student Life, including but not limited to maintaining a high degree of confidentiality in all matters related to the office, managing and coordinating schedules, travel arrangements, correspondence, reporting, electronic communication, editing, mailing, meeting coordination, and event management (student meetings, gatherings, advisory boards, etc.) for the Vice President as well as phone calls, tracking and record-keeping, file organizing and coordination, supply inventory and ordering.
- Coordinates activities, programs, and events for the Office of the Vice President with the Office of the President and other relevant Student Life departments and divisions.
- Manage and coordinate in a timely manner inquiries and matters referred to the vice president’s office; research inquiry, draft response, and make recommendations to the vice president.
- Coordinates the work of the Central Office in concert with the Director of Administration and Planning and assures consistent flow of information, prepares draft memoranda and reports for the Vice President for Student Life and supports the divisional budget process assisting with analysis and budget preparation. Have direct oversight and responsibility of the Office of the Vice President office budget.
- Responsible for prepping agenda items and respective documents for appropriate Board of Trustees respective committee meetings involving the Vice President.
- Responsible for supervision of the Administrative Assistant II in the Central Office and student employees including: training, setting work plans, priorities, follow-up, recruitment activities, and coordination of work plans.
- Be available to assist with student crisis management matters that may require evening/weekend assistance, either remotely or in person.
- Serves on committees as assigned by the Vice President of Student Life and administratively supports the Vice President’s committee assignments – attends meetings, records, and transcribes notes.
- Performs other duties as assigned by the Vice President for Student Life.

Required Qualifications:
- Bachelor’s degree in a related field, or Associates degree with progressively responsible experience in senior level administrative support positions.
- Ability to prioritize tasks, manage time efficiently, self-motivate and work independently.
- Organizational skills and the ability to manage multiple projects concurrently and adjust with ease to shifting priorities.
- Demonstrated verbal and written communication skills and expertise in managing the preparation of documents, reports, forms, and professional correspondence.
- Strong interpersonal skills with the demonstrated ability to establish effective customer service.
- Analytical, critical thinking, and problem-solving skills.
- Ability to understand and work with statistical data, fiscal records, and information.
- Knowledge and skill in word processing, electronic spreadsheets, database applications, multimedia presentation software, and electronic messaging and calendaring
- Supervisory experience.
- Ability to establish and maintain trusted working relationships with a diverse population of employees, students, faculty, vendors, outside agencies, and the public.
- Ability to work in a fast-paced environment, maintaining composure handling critical matters while ensuring the confidentiality.
Preferred Qualifications:
- Demonstrated work experience and knowledge of a higher education environment, inclusive of higher education principles, practices, policies, and values.
- Demonstrated working knowledge of Banner software or comparable information database
- Knowledge of accounting principles and demonstrated experience in record keeping and reconciliation of budgets.
- Knowledge of Greater Bridgewater community and region.
- Event coordination experience.
