Position Summary and Qualifications

Salary assigned will be commensurate with experience.

Performs advanced administrative and clerical functions that supports and enhances the Public Affairs and Sustainability (grants) functions for FPUA. Assists in the planning, initiating and completion of administrative and clerical activities in support of departmental processes and/or special projects, as assigned. Requires sound judgment and proficiency in coordinating departmental processes and compiling data for a variety of office functions. Independent judgement must be exercised to insure all internal and external customers are treated fairly and in a professional manner. Reports to the Manager of Public Affairs and Sustainability.

Must possess:
  • Considerable knowledge of the principles and practices of office operations
  • Considerable knowledge of business English, spelling and punctuation
  • Considerable knowledge of administrative reporting requirements of federal, state and local regulatory agencies
  • Ability to react in emergencies and to disseminate information to management as necessary
  • Ability to operate department-specific equipment/systems such as radios, cell phones, cameras, etc.
  • Proficiency in math relating to departmental bookkeeping, budgeting, and purchases, as well as computation of utility bills, operation of computer terminals, and personal computers and other office machinery
  • Ability to thrive within and constantly work to promote a culture of teamwork and fluid improvement
  • Ability to make basic mathematical computations and tabulations rapidly and accurately
  • Ability to maximize efficiency through good planning and organizing
  • Ability to understand and follow, quickly and accurately, brief oral and written instructions on moderately complex matters
  • Ability to effectively communicate with all internal and external constituents, and interact with other FPUA departments at all levels
  • Ability to establish and maintain harmonious relationships with Supervisors, co-workers, other departments, customers, vendors, governmental and regulatory agencies, as well as the general public

Graduation from an accredited high school or possession of an acceptable equivalency diploma. Two years of advanced administrative/clerical experience. Proficiency in the use of Microsoft Office software is essential.

[NOTE: There are also secondary functions, which the employee will be required to perform.]

Proficiently composes and/or proofreads professional formal and informal documents on a variety of routine, sensitive and technical matters, always maintaining confidentiality.

Prepares and maintains all departmental documents related to employees and operational processes. Maintains and prepares, as necessary, all personnel forms, including updating employee information database, including verifying, posting and maintaining all payroll records for the department.

Maintains and processes requisitions and contracts for the department.

Processes monthly invoices and opens and monitors purchase orders for the department.

Attends and takes minutes for Utility Advisory Committee monthly meetings.

Ensures compliance with record retention requirements.

Facilitates public records requests through the departments, ensuring delivery to the requestor.

Posts required public notices in the Customer Service lobby and online.

Maintains records and prepares accurate departmental and regulatory/required reports from such records according to schedule.

Supports departmental staff by scheduling and/or providing reminders to employees of projects, events, appointments, meetings, classes, etc. Schedules and prepares travel requests, hotel accommodations, and registrations.

Seeks opportunities to maximize efficiency in departmental operations through creating and/or revising forms, converting to electronic processes, using available technology to streamline processes, etc.

Maintains written procedures for Public Affairs and Sustainability.

Assists with the development and maintenance of policies and procedures relating to the department.

Maintains neat, clean working/meeting areas and maintains office stock supplies.

Proactively assists department members when assistance is needed.
