JOB DESCRIPTION

We are currently seeking an organized and analytical Sr Payroll Tax Analyst to join our team in the Chicago office. The Sr Payroll Tax Analyst will be responsible for the payroll tax reporting, compliance, liabilities, and the filing of associated returns for multiple FEINs. They will also be responsible for ensuring the integrity of employee wage and tax data reported on the W-2.

WHAT YOU'LL DO
  • Coordinates timely and accurate
    tax deposits and filings for payroll taxes on a daily, bi-weekly, monthly, quarterly, and annual basis.
  • Performs internal monthly payroll tax audits and weekly payroll balancing reconciliation.
  • Analyze, validate, and correct all variances
    on quarterly ADP Variance reports by FEIN.
  • Resolves IRS and State Payroll Tax Notices and exceptions
    using ADP SmartCompliance and works closely with ADP to respond to related inquiries.
  • Tracks receipt of state unemployment insurance rate and performs systematic updates.
  • Apply and register for new state SUI and Withholding Tax accounts
    for new locations, FEINs, as needed.
  • Make corrections to state/federal tax profiles set up with tax services.
  • Prepare payroll tax journal entries based on payroll tax funding.
  • Prepare various tax returns and reporting not filed by ADP,
    including other required government reporting.
  • Analyzes and prepares tax balance adjustments on a weekly basis.
  • Executes release update testing five to six times per year
    to ensure appropriate tax rates and calculations provided by Vertex are expected.
  • Continually review, execute and recommend process improvements
    to enhance, promote effectiveness, efficiency, and precision.
  • Responsible for maintaining up to date payroll tax procedures
    on all processes and filings.
  • Research and remain current with payroll tax compliance laws and regulations for the US.
  • Collect necessary documentation for all audit requests.
  • Responsible for partnership with our third-party tax service, ADP.
  • Responsible for processing employee relocation.
  • Preparation and filing of quarterly Multiple Worksite Reporting.
  • Reconciliation of weekly, bi-weekly, quarterly, and year-end payroll.
  • In-house processing and issuance of W-2's,
    including requests for duplicate W-2's.
  • Responds to W-2 inquiries and manages W-2 Hotline.
  • Ability to multi-task
    while maintaining productivity and leading analysis and providing status updates to the Senior Director.
  • Attend Chapter Meetings, Year-End Webinars, and ADP sponsored conferences
    to continue education and remain current on all applicable federal and state tax legislation.
  • Perform other payroll operations duties, as assigned.

REQUIREMENTS
  • Bachelor's degree and 5+ years payroll tax experience in a multi-state environment.
  • Strong accounting background, excel, analytical, and troubleshooting skills.
  • Must have strong communication and organizational skills.
  • Must be knowledgeable in payroll and payroll tax law and regulations.
  • Microsoft Word and Excel preferred, along with experience with Google Work Apps.
  • Oracle HCM Cloud and ADP SmartCompliance experience preferred.
