The Engineering Records Specialist reports to the Supervisor, Records Management. This position works closely with the Design Services Coordinators, Designers, Document Control Specialists, Project Manager, and Field Operations on multiple projects, to coordinate the development of project documentation. The development of this documentation is accomplished by providing guidelines to the Design Services group and to third-party engineering contractors on the organizational format of the required documentation. The Engineering Records Specialist must have proven experience and skill in interdepartmental communication and coordination expediting work-flow, and meeting project deadlines as it relates to providing drawing and documentation support for project teams.

Responsibilities include, but are not limited to:

  • Provide up-to-date drawing manifests and tag number request forms for project use.
  • Oversee requests for providing existing design copies, checking out and checking in of drawing records for all Company plant and pipeline facilities by using the Company manifest for listing drawings being requested.
  • Adhere to company check-in procedures for accepting as-built drawing records and accurately updating metadata.
  • Ensure project drawings are complete and viewable in eSearch.
  • Oversee drawing record requests for all Company plant and pipeline facilities.
  • Support of Engineering Projects by providing assistance in the accessibility to drawing records, and assignment of new numbers for drawings, instrument tags and equipment tags. Facilitate project document management as necessary to ensure the successful completion of all drawing record activities. Detailed items shall include:
    • Assist in the development, implementation, and maintenance of guidelines that assure engineering drawing records are organized and completed in a timely manner.
    • Organize, archive, and manage drawing records.

Qualifications


The successful candidate will meet the following qualifications:

  • A minimum of a high school diploma or GED is required.
  • Five years relevant work experience in a Project Management / Project Engineering environment is preferred.
  • Formal training or equivalent experience, processes, methods, or systems is required.
  • Proficiency in computer keyboarding is required.
  • Strong computer skills, with specific knowledge of Microsoft Outlook, Excel, Word, and Access is required.
  • Drafting skills utilizing AutoCAD is preferred.
  • Technical aptitude in the use of reproduction equipment and methods is required.
  • Strong interpersonal communication skills, with the ability to work in a team environment is required.
  • Professionalism, attention to detail and proactive customer service mentality are a must.
  • Diplomatic and effective written and verbal communication is required.
  • Proficient level of knowledge of typical content, organization, and format of Engineered Project Records.
