POSITION TITLE: SOCIAL SERVICES PROGRAM ASSISTANT
STATUS: NON-EXEMPT – FULL TIME
GENERAL STATEMENT:

QUALIFICATIONS:
- Minimum of two years’ experience as a secretary or administrative aide.
- Knowledge of Salvation Army practices, policies, and organization resources desirable.
- Typing – 60 wpm
- Grammar test – 90% accuracy
- Spelling test – 90% accuracy
- Ability to operate office machines: computer, photocopier, scanner.
- Strong computer skills with knowledge of Microsoft Word, Excel, Access, Publisher, and PowerPoint.
- Desktop publishing skills helpful.
SUMMARY OF RESPONSIBILITIES:
- Provides clerical support to the Territorial Social Services Quality Assurance Director and the Office and Administrative Assistant to the Territorial Social Services Secretary with a variety of duties as requested.
- The Program Assistant must be able to take the initiative to successfully meet timelines and objectives.
- This position requires excellent time management skills and the ability to meet multiple demands simultaneously in a confidential and professional manner.
SPECIFIC DUTIES:
- Assist with the TL Williams application process by making sure all required information is included in the application, the program meets the criteria, and preparing short descriptions of applications for TPC review.
- Assist with the TL Williams reporting process by collecting reports from funded programs, uploading them to TSAMM, and preparing annual reports for NHQ.
- Prepare TL Williams award letters for Divisions for the Program Secretary.
- Prepare 1st and 2nd disbursement amounts for the THQ finance department.
- Assist with the National Social Services Program Reviews, making sure programs submit required documentation by deadlines, schedule meetings/interviews/transportation/program walk-through, follow-up with action plans.
- Assist with annual reports of residential care sites for children for IHQ by collecting assessment reviews from programs.
- Respond to routine inquiries (War Cry, email, and correspondence) for service as appropriate (for general information, financial assistance, Christmas aid, etc.) by referring or forwarding to the appropriate division or department.
- Design and prepare the Social Services newsletter.
- Assist in the planning of Social Services Roundtables, Social Services Councils, and other events, as needed.
- Assist in preparing presentation materials, brochures, reports, and other documentation as required for communication to the field, or as required for meetings and conferences.
- Create the agenda and minutes for Territorial Program Council in the absence of the Office and Administrative Assistant.
- Purge and scan TPC files and destroy physical copies as per NHQ guidelines.
- Support the Office and Administrative Assistant to the Territorial Social Services Secretary and assist in overall work of the Social Services department as needed.
- Keep the USA West Social Services Resources page in the Landing updated.
- Assist with Booth Records as needed.
- Other duties as assigned.
