Location: Fairfax, VA
Clearance: TS/SCI
Education: Master’s degree.
Outcomes:
The successful candidate is expected to accomplish the following outcomes:
P rovide correspondence control and management; tasking and tracking management, and related Executive Secretariat administrative support to include coordinating the internal work of the organization, serve as the liaison between the organization, higher headquarters, and outside agencies.
Track actions in progress, contact POCs within the MPCO organization for upcoming actions due, develop reports on status and track status of Read-Ahead packages due to the MPCO Director and/or CDM Director.
Employ expertise and subject knowledge regarding correspondence management, including familiarity with applicable DoD directives and guidance, Intelligence Community correspondence policies and procedures, and utilization of automated systems for correspondence currently in use.
Responsibilities:
The Sr. Executive Assistant will support the Secretary of the Air Force - Concepts, Development, and Management Office (SAF/CDM) Special Access Program Central Office (AAZ) . The Sr. Executive Assistant will provide direct day-to-day administrative support in the areas of travel, Government purchase and travel card, timekeeping, in- and out-processing, training management, records management, internal office administrative workflow management, and supply/logistical office support.
Specific responsibilities include but are not limited to:
Employ editing/proofing/revising skills, agility in addressing competing priorities, matters of protocol and engagements with senior leadership.
Manage and track all taskers via the Task management Tool (TMT) and the Correspondence and Task Management System (CTAMS).
Ensure correspondence adherence to standards of quality and consistency with DoD/Air Force precedents and policies.
Initiate, monitor, and coordinate completion of ADMIN branch tasks through CDM’s task management tools.
Manage MPCO correspondence. This includes tracking MPCO action items; preparing statuses of actions; keeping metrics; providing briefing charts of statuses/metrics as required .
Review MPCO correspondence for non-functional content edits. This includes addressing management, policy, and procedures to include formatting and grammatical edits, and proper correspondence packaging in accordance with DoD and USAF manuals, Instructions, Administrative Instructions, and other correspondence processes such as, but not limited to, preparation and tracking of SECDEF Form 391 Correspondence Action Report for taskings.
Utilize the MPCO determined tasking management system (TMT or any subsequent systems) to provide tasking management support.
Submit staff actions into the system after having analyzed for type of action required ; identification of proper office(s) for action, coordination, or assistance ; and identification of other offices having a collateral interest.
Work with appropriate offices to identify and troubleshoot correspondence system software issues and will implement a manual process if on occasion the automated system in nonfunctional.
Establish, or adapt existing, reports to work with customers and managers on status of tracking of actions.
On a regular basis, follow-up on overdue actions via in-person contact, email and via the correspondence management system to ascertain reason for any delays and expected completion.
Maintain AAZ content on DoD/Air Force and/or knowledge management sites.
Ensure administrative support (in the above areas) to geographically separated personnel, as directed or required .
Research policies, regulations, and procedures to formulate, coordinate, and implement organizational Operating Instructions and processes.
Qualifications:
The candidate must have the following qualifications:
Minimum of Ten ( 10 ) years’ experience providing administrative assistance , including travel coordination for DoD personnel.
Experience with training management, timekeeping, and records management.
Experience providing administrative support, including functional expertise for office management.
Good verbal and written communications skills.
Good customer service skills.
The following qualifications are desired:
Experience with using the Task management Tool (TMT) and the Correspondence and Task Management System (CTAMS).
Experience processing travel via the DTS providing accounting/financial support to DoD customers.
Travel: Some travel to the National Capital Region may be required.
