Job Description:
Provide high level of administrative support to the Contracts Office of a large research facility located on the J.J. Pickle campus.
Job Details:
- Maintain various tracking and reference tools and templates.
- Liaise with other UT System entities and offices.
- Prepare charts, graphs, and administrative, fiscal, personnel, and/or statistical reports.
- Retrieve award/sponsor information from a variety of sources.
- Draft, review and edit memoranda and reports, and maintains files on current agreements and other documents.
- Interviews, trains, supervises and evaluates students hired to assist with administrative projects.
- Other related functions as assigned.
Required Qualifications:
- HS/GED
- Seven years of related clerical experience.
- Experience with all MS Office applications and Adobe forms.
- Advanced Excel skills/experience to include data validation, VBA and macros, VLOOKUP, XLOOKUP, parsing/concatenation, Pivot Tables, conditional formatting, power query.
- Experience building templates and dashboards, data summaries.
- Proficiency and professionalism in business writing
- Attention to detail
- Relevant education and experience may be substituted as appropriate.
Applicant must have a dynamic skill set, willing to work with new technologies, be highly organized and capable of planning and coordinating multiple tasks and managing their time. The position will require attention to detail, effective problem solving skills and excellent judgment. Ability to work independently with sensitive and confidential information, maintain a professional demeanor, work as a team member without daily supervision and effectively communicate with diverse groups of clients. Able to work under pressure and accept supervision. Regular and punctual attendance.
US Citizen: Applicant selected will be subject to a government security investigation and must meet eligibility requirements for access to classified information at the level appropriate to the project requirements of the position.
Preferred Qualifications:
- Bachelor's degree
- Veterans with military experience in MOS 51C, Navy LS or 310x, AFSC 6C or AFSC 6F
- Experience with federal acquisitions and contracting
- Experience with federally funded research contracts
- Experience with UTRMS and DEFINE
- Business writing proficiency

Salary Range: $48,000-$56,000+ /negotiable depending on qualifications.
