Retail Sample Development Associate Product Manager
Summary/Objective
Functions as Associate Project Manager for the Swatching Program that includes vendor management of production and delivery as well as support for sample books, updates, accessories, product displays and hand samples. The role is highly logistical and operationally oriented, demanding strong organizational and communication skills. Serves a key role in the management of supply chain business partners as well as key point person for product teams. Responsible for the creation and upkeep of all swatching program schedules and processes from concept to completion. Works closely with RSD team members on new initiatives, improved practices, new suppliers and special projects as required for Swatching Programs, Sampling Collateral and Sampling Programs.
ESSENTIAL FUNCTIONS
An employee in this position may be called upon to do any or all of the following essential
functions. (These examples do not include all of the functions which the employee may be
expected to perform.)

-Manages vendors used for the Sampling Collateral Programs- includes internal and external vendors.
-Coordinates with material manager to oversee vendor supplied material management.
-Coordinates with indirect purchasing director to negotiate pricing, timing and production requirements for swatching, sample books and other sampling related elements.
-Works closely with the Sampling Managers of RSD to support work with the Sample Maker(s) on all aspects of book production including making sure product receipts match the quantity indicated on the packing list and product quality meets specifications provided by PM personnel.
-Facilitates the replacement of materials in subsequent shipment of product due to quantity, labeling or quality problems. Identifies potential production problems due to lack of material at the Sample Maker.
-Spearheads efforts for any special projects as needed. Is responsible for all related systems
operations, communication and logistics associated with the program’s establishment.
Material Management:
-Works in conjunction with Material Manager to establish plans for manufacturing of all product core goods, including fabric and miscellaneous materials shipping to sample maker. Also coordinates with the Material Manager and Warehouse on the movement of finished and component inventory to ultimate destination, when different than sample maker.
-Ensures sample maker(s) understands and complies with outbound routing guides.
-Interfaces with sampling cost accountant on purchasing, inventory control and sales/fabrication team to ensure coordination of key events is completed per schedule and objectives.
-Assists in the development of systems and procedures to communicate specification, modification, quality criteria, forecast information, delivery and other pertinent data to all vendors involved in the sampling project(s).
-Coordinates the disposition of defective product at sample maker and material replenishment.
-Ensures the defective material is properly accounted for and dispositioned on a timely basis or if it can be used to supplement other program needs (swatching, visualization, etc).
Supplier Sourcing:
-Collaborates with indirect purchasing director to recommend optimal source for production of Sampling -Collateral projects as well as sampling projects, based on cost, quality, schedule, and aesthetics.
-Facilitates the generation of RFQ’s, evaluates the returned RFQ’s comparing each and summarizing for product group(s) with recommendations specific to any new sampling vendors and projects.
-Provides sample maker cost and performance agreements to sampling cost accountant which becomes the basis for the sample maker purchase order(s).
Supplier Performance:
Works with indirect purchasing director to manage the supplier relationship with the sample maker and other suppliers for Sampling Collateral projects as well as sampling projects, and is responsible for assisting in resolving supplier performance issues.
Sampling Management:
-Spearheads and manages any process, documents, research and communication for current, new or improvement on processes and procedures.
-Ensures timely and relevant production reporting from sample maker(s) that clearly identifies
finished production and timing.
-Escalates potential material shortages due to insufficient scrap factors to indirect purchasing director and product teams.
-Ensures only required fabric is processed.
-Coordinates communication with sampling director, operations managers, material managers, product teams, corporate marketing and other cross functional internal and external teams on sampling collateral and sampling.
-Leads discussions to arrive at possible solutions for producing sampling materials.
-Monitors and audits schedules for production of offshore sampling materials.
Trade and Custom Compliance:
Ability to work in a constant state of alertness and safe manner.
Position requires regular and predictable attendance.

QUALIFICATIONS AND KSA’S FOR EMPLOYMENT
An employee in this position, upon appointment, should have the equivalent of the following:
Expert knowledge of project management and facilitation skills.
Solid knowledge of the principles of negotiation to work with suppliers on issues related to pricing and terms of delivery.
Expert knowledge of computer use and software such as Word, Excel and SAP
Expert communication skills with the ability to lead discussions during tense or stressful
situations.
Solid knowledge of the legal aspects of purchasing.
Solid knowledge of product development, creative development and a manufacturing environment.
Expert Skill in developing and maintaining effective work relationships with department representatives and suppliers.
Expert Ability to organize and prioritize multiple projects.
Solid Ability to troubleshoot and develop problem solving to improve upon job efficiency, quality, and overall production results.
Expert Ability to communicate verbally and in written form on a one-to-one or group basis.
Acceptable Training and Experience includes a Bachelors degree. 3+ years previous experience in logistics or operations or project management. Previous experience producing sampling materials highly desired.

Compensation and Benefits:
- Annual base salary range: $73,000-$82,000
- Bonus target range: 10%-20%
