He's a creative A.D.D. genius, who happens to suck at administrative and organizing tasks. He great a non-linear thinking with a memory of an elephant for odd tax related facts (things like birthday and anniversaries seem to not get remembered).

Responsibilities

This position supports the accounting team providing administrative assistance to ensure efficient operations of the office. This role requires a person with strong organization and client relation skills who is able to multi-task. This candidate should be able to provide professional and friendly service to each client. They will be responsible for confidential and time sensitive material. This person will direct and lead the work flow of the office.

  • Answer and direct phone calls
  • Collect money: CC, cash, checks
  • Prepare documents to email, fax and mail to clients and government agencies
  • Deposit checks, mail out documents and mail pick-up
  • Complete lunch runs
  • Book internal staff appointments for inhouse work to be done
  • Create client engagement letters and get them signed via docusign
  • Maintain currently working client lists
  • Provide general support to visitors including booking appointments and scanning relevant documents
  • Uploading and tagging scanned documents into our DMS
  • Provide updates to the clients on their working projects
  • Deal with client billing issues
  • Write emails on behalf of other office staff
  • Reply to email, telephone or face to face inquiries
  • Assist with monthly event planning

Requirements

  • You take personal responsibility for your actions and don’t blame everybody else for why things didn’t get done. You take personal ownership over your piece of the pie.
  • You must be a finisher.
  • You must obsesses over details and getting things completed
  • You can follow directions.
  • You are task driven; a self starter. You don’t need to be mirco-managed
  • Excellent time management skills and ability to multi-task and prioritize work
  • Attention to detail and strong organizational skills.
  • Positive and supportive manner, willing to work and learn from others in the office
  • Quick learner
  • You have a good memory for details
  • You need to direct staff member in a kind a gentle manner, and also at the same time staff members will direct you.
  • Emotional ability to handle angry clients, and be an emotional shield to staff members from demanding clients
  • Technology friendly. You’ll be using zendesk, ichannel, ms word, G-Suite, lacerte, infusionsoft, quickbooks and about 10+ other programs on a daily basis
  • Consider yourself like the house mom/dad of a fraternity
  • Keep track of your time on a quarter hour basis
  • Ability to learn tax lingo and jargon

Training

  • We will train you on how our office works and how to use certain tax specific programs. We’ve developed specific SOP and videos to show you how to do specific tasks.

Pay: $11.00 - $20.00 per hour
